Switch to a different Office 365 plan or subscription

You can switch from your current Office 365 subscription to another Office 365 subscription:

  • In the same service family    For example, from Office 365 Small Business to Office 365 Small Business Premium, or from Office 365 Enterprise E1 to Office 365 Enterprise E3.
  • From a standalone plan    For example, from Exchange Online to Office 365 Enterprise E1.
  • To a different service family    For example, from Office 365 Small Business to Office 365 Enterprise E3.

To switch plans

Many plans can be switched using the Switch plans wizard. To find out if your plan is eligible, see Plans eligible for the Switch plans wizard. If your plan is not eligible, you need to switch plans manually.

You cannot use the Switch plans wizard if your subscription has more than 300 users. To access the Switch plans wizard, you need to be a global admin (for Office 365 Enterprise and Office 365 Midsize Business) or an admin (for Office 365 Small Business).

 Note    If you want to move from a trial subscription of one plan to a paid subscription of another, first purchase the plan you are trying out, and then switch plans. For more information, see Buy a subscription after trying Office 365 (for Office 365 Small Business) or Buy a subscription after trying Office 365 (for Office 365 Enterprise or Office 365 Midsize Business).

To switch plans using the Switch plans wizard

  1. Review what happens with your service while your plan is being switched:
  • There will be no interruption to your service, and users are still able to access their data.
  • Admins are not able to use the Office 365 portal.
  • Users on your existing subscription are automatically moved to the new subscription.

 Note    Don’t reassign user licenses to the new subscription while your plan is being switched. This can interrupt the switch process.

  • The billing on your existing subscription is turned off after you submit your order and the billing on your new subscription starts after the switch is complete. For more information on how switching plans affects your billing, see Billing and switching plans.
  • If you want to use another one of your custom domains for your Office 365 public website address, change the address before you switch plans. If you want to change it to another domain later, you might need to take some extra steps.
  1. Go to the Subscriptions page (or click Admin > Licensing or Admin > Manage and purchase licenses).
  2. On the Subscriptions page, select the plan you want to switch to, and then, under Plan options, click Switch plans.
  3. On the Choose a new plan page, select a plan, and then click Next.
  4. Walk through the steps in the Checkout wizard. You can add licenses on the Review page by clicking the Edit link next to your new subscription, or change your payment method or frequency on the Payment page.
  5. On the Order completed page, click Status to complete your order.
    When the Switching plans: status page appears, the switch plans process is underway and you will see this page until your plan has been switched. You can close the Switch plans: status page and come back later without interrupting the switch plans process.

 Note    Switching plans typically takes less than ten minutes if there are no errors or issues. The license reassignment portion of the process should take less than a minute. If you still see the Switch plans: status page after one hour, call support for billing and subscription issues. There may be an issue with switching your plan.

Billing and switching plans

The billing on your existing subscription is turned off after you submit your order and the billing on your new subscription starts after the switch is complete.

Some other things to know about billing and switching plans:

  • If your credit needs to be checked, switching plans can take up to two weeks.    If your organization’s credit needs to be checked before your payment is complete – for example, you have chosen the invoice with credit check payment method, or you have reached a certain cost level – you can’t add new subscriptions or switch any other plans while the credit check is in progress. On the Licenses page, existing plans show No options in the Plan Options column. The credit check can take up to two weeks to complete. During this time, the rest of your service can be accessed as usual on your existing subscription. After your credit has been approved, your plan switch begins, and admins see the Switching plans: status page when they sign in to Office 365.
  • You can’t switch plans if you used a prepaid card to purchase your plan.    Switching prepaid plans – that is, plans that use product keys – is not supported by the Switch plans wizard.

What if I can’t see the Switch plans link but I should be eligible for switching plans?

Sometimes your plan is eligible to be switched, but you do not see the Switch plans link on the Licenses page, as in the following figure.

There are three possible reasons for not seeing the Switch plans link when you are eligible:

  • You may have Office 365 Small Business from before the service upgrade and have more than 25 users. In this case, you can’t switch because Office 365 Small Business after the service upgrade has a 25-user limit.
  • Your service may be experiencing issues that need to be resolved before you can switch plans.

Issues to resolve

Several issues affect your ability to switch plans. First, your plan needs to be fully provisioned and have no service health issues. To see if there are provisioning or service health issues, see the Current service health section of the Support overview page (in Office 365 Enterprise and Office 365 Midsize Business, click Admin > Office 365 > Support; in Office 365 Small Business, click Admin > Get help and online support). For example, in the following figure, the Exchange Online service is degraded.

Additionally, to switch plans, all of your users need to have valid licenses. If you have assigned more licenses than you have purchased, you’ll see an alert saying you have a licensing conflict that needs to be resolved. You can also see whether you have this issue by clicking Admin > Licensing (or Manage purchases and licenses) > Licenses. On the Licenses page, you’ll see the issue and a link to reconcile the issue, as shown in the following figure.

Add licenses when switching plans

When you switch plans using the Switch plans wizard, you can add licenses to your subscription. You cannot remove licenses as part of switching plans. If you would like to reduce licenses, you should call support for billing and subscription issues.

To add licenses while switching plans

  1. Click Switch plans > Choose a new plan > Next.
  2. On the Checkout wizard, on the Prepare page, click Next.
  3. On the Review page, click Edit.

  1. In the subscription dialog box, edit the number of user licenses, and then click Update cart.

Switch plans manually (without the Switch plans wizard)

Any plan that isn’t in the Plans eligible for the Switch plans wizard list can be switched “manually.”

Switching plans manually involves purchasing a new plan, reassigning the licenses, and then cancelling your old plan.

 Important   

  • You can’t switch back to your old plan after you switch to a plan in a different service family.
  • If you’re switching to a plan in a different service family, it’s a good idea to back up all of your company’s information before switching plans.
