Reading layout view

The Reading Layout toolbar

To switch on reading layout view:

  • Click the Read button Button image on the Standard toolbar.

The Reading Layout toolbar:

Callout 1  Document Map: Displays the document map in a panel on the left side of the window.
Callout 2  Thumbnails: Displays several pages of the document in a thumbnail format at the left side of the window.
Callout 3  Research: Opens the Research task pane at the right side of the window.
Callout 4  Text Size: These two buttons give you the ability to make the text larger (or smaller) for reading purposes without changing the font size.
Callout 5  Actual Page: See what the text would look like on a page if you printed it. This is similar to print layout view.
Callout 6  Allow Multiple Pages: Look at two pages side by side, as you do when you read a book.
Callout 7  Close: Closes reading layout view.

To switch off documents opening in reading layout view:

  • On the Tools menu, click Options, and then on the General tab, clear the Allow starting in Reading Layout check box.

Insert symbols

To insert a symbol:

  1. On the Insert menu, click Symbol.
  2. Find the symbol you want in the Symbol dialog box.
  3. Click Insert and then close the dialog box.

Use keyboard shortcuts or AutoCorrect text to insert symbols that you use regularly. To set up your own keyboard shortcuts or AutoCorrect text, click the appropriate button in the Symbol dialog box.

Compare Side by Side

To see two documents side by side, open both documents and then on the Window menu, click Compare Side by Side.

Click the Reset Window PositionButton image button on the Compare Side by Side toolbar to set both documents to equal sizes and positions.

Switch synchronous scrolling on and off by clicking the Synchronous ScrollingButton image button.

Switch Compare Side by Side off by clicking the Close Side by Side button on the Compare Side by Side toolbar or by closing one of the documents.

The horizontal ruler

To move margins:

  1. Position your pointer over the left or right margin on the horizontal ruler Double arrow pointer on the left margin.
  2. Drag the margin to the position you want.

To move indents:

  1. Position your pointer over the indent marker on the horizontal ruler.
  2. Drag the marker to the position you want.

To set tabs:

  1. Click the tab selector at the left end of the horizontal ruler to change it to the type of tab you want.
  2. Click the ruler in the location you want.

Types of indent:

  • The First Line IndentIndent marker image positions the first line of a paragraph.
  • The Hanging IndentIndent marker image is the triangle on top on the square. It positions the start of the second and all following lines of text in a paragraph.
  • The Left IndentIndent marker image is the square underneath the hanging indent. It moves the hanging indent and first line indent together, keeping a constant space between them.
  • The Right IndentIndent marker image positions the right indent of a paragraph.

Types of tab stops:

  • Tab button image Left Tab sets the start position of text that will then run to the right.
  • Tab button image Center Tab sets the position of the middle of the text.
  • Tab button image Right Tab sets the right end of the text. As you type, the text moves to the right.
  • Tab button image Decimal Tab aligns text around a decimal point. Independent of the length of the figure, the decimal point will be in the same position.
  • Tab button image Bar Tab doesn't position text. It inserts a vertical bar at the tab position.

Word Count

To count words, characters (with or without spaces), lines, paragraphs, or pages:

  • On the Tools menu, click Word Count.

To recount quickly while working, use the Word Count toolbar. Open it by clicking Show Toolbar in the Word Count dialog box.
