Add, edit, move, or rotate text and text blocks

You can add text to shapes and also put text directly on a page.

What do you want to do?


Add text to a shape

  1. Select the shape.
  2. Type the text.
  3. Format the text:
    1. Select the shape that has the text you want to format.
    2. On the Home tab, in the Font group, set the font characterisitics.
    3. On the Home tab, in the Paragraph group, set the alignment and other characteristics.

You do not need to double-click a shape to add text, although you can; when a shape is selected and you start typing, Visio adds the text to the selected shape. If you are not already zoomed in to the shape, Visio zooms in while you type. When you finish typing, click an empty area of the page or press ESC. Visio zooms back out.

To stop Visio from zooming in on your text:

  1. Click the File tab.
  1. Click Options.
  2. Click the Advanced tab.
  3. Under Editing options, in the Automatically zoom text when editing under box, enter 0 (zero) for the point size.

Edit text on a shape

  1. Double-click the shape that has the text you want to edit.
  2. Edit the text.
  3. Click an empty area of the page or press ESC to finish.

Add text to a page

  1. On the Home tab, in the Tools group, click the Text tool Button image.
  2. Click anywhere on the page to create a text box, or click and drag until the text box is the size that you want.
  3. Type your text.
  4. After you finish, click a blank area on the page or press ESC to finish.
  5. Click the Pointer tool Button image on the Home tab to return to normal editing.

Move or rotate text

On a shape

  1. On the Home tab, in the Tools group, click the Text Block tool Button image.
  2. Click the shape to select its text block (text block: The text area associated with a shape that appears when you click the shape with the text tool or select it with the pointer tool.).

 Note   If the text is in a group, click to select the group, and then click to select the text in the shape.

  1. Drag the text to move the text block, or drag the rotation handle to rotate the text.

When the pointer is over a rotation handle (rotation handle: The round handle that appears at the top of a 2-D shape's or text block's selection rectangle when you select the shape or text block using the Pointer tool or select a text block using the Text Block tool.), it changes to an arrow that forms a circle Rotation tool pointer. As you drag, the pointer changes to four arrows that form a circle Rotation tool pointer during rotation.

Rotate text on a shape

After you switch back to the Pointer tool, the text stays the same distance from the shape and in the same relative position to the shape. If you use the Pointer tool to drag the text, the shape will also move, even if the text is no longer on the shape. To move the text independently of the shape, use the Text Block tool.

On the page

You can move and rotate text on the page by using the Pointer tool, the same way you move and rotate any shape. Click the text and drag to move it, or use the rotation handle to rotate it.
