Distributing an Office document to your team

There are several ways you can distribute a Microsoft Word 2000 document, Microsoft Excel 2000 worksheet, or Microsoft PowerPoint® 2000 presentation to your team or organization.

Here are some guidelines you can use when selecting a distribution method for a file.

Faxing files

If team members are away from the office and unable to connect to your organization's network, Office can help you fax files to them.

Faxing Word 2000 documents

The Fax Wizard in Word 2000 guides you through the steps of creating a cover sheet. If you have a fax software program on your computer, you can also use the Fax Wizard to send the cover letter and document from Word 2000.

To start the Fax Wizard

  • On the File menu, point to Send To, and then click Fax Recipient.

Faxing a worksheet or a presentation

If you have fax software and hardware installed on your computer, you can fax a worksheet or a presentation.

  1. Open the worksheet or presentation that you want to fax.
  2. On the File menu, click Print.
  3. In the Name box, click the fax driver.
  4. Select the other print options you want, and then click OK.

Sending files as attachments in e-mail messages

If you want a small group of reviewers to receive a file all at the same time, you can send it as an attachment in an e-mail message. Choose this method if you need to quickly distribute the file and you have a specific list of reviewers.

To send the file as an e-mail attachment

  1. Open the file you want to send.
  2. On the File menu, point to Send To, and then click Mail Recipient (as Attachment).
  3. In the To and Cc boxes, enter the recipient names separated by semicolons.
  4. Click Send.

Routing files to reviewers one person at a time

If you want each reviewer to see the comments made by previous reviewers, you can create a routing slip and route the file to the reviewers one person at a time. Choose this method if you have an adequate amount of time for the review process and a short list of reviewers.

To create a routing slip and route the file to reviewers

  1. Open the file you want to route.
  2. On the File menu, point to Send To, and then click Routing Recipient.
  3. Click Address.
  4. In the Address Book dialog box, click or type the names of the recipients you want to send the file to, and then click OK.
  5. If you want to change the recipient order, select a name in the Routing Slip dialog box, and then click the Up or Down arrow next to Move.
  6. Select the routing options you want.
  7. Click Route to send the file to the first recipient on the distribution list.

Publishing files on your organization's intranet

If you want to provide a file to several departments or your organization, you can publish it to your organization's intranet. For example, this method is a good way to distribute a company document such as an employee handbook or employee benefits guide.

To save a file in HTML format

  • On the File menu, click Save as Web Page.

You can now publish the file to your organization's intranet. Contact your administrator if you need assistance.

Posting files to Microsoft Exchange public folders

If you are not sure who might want to review a file, you can post it to a Microsoft Exchange public folder. You can then notify your team or organization about the posted file by sending a message to an e-mail distribution list. For example, this method is a good way to distribute a specification or a report about a recent site visit to see a customer.

To post a file to a public folder

  • On the File menu, point to Send To, and then click Exchange Folder.
