Using the Database Wizard
- Select the shapes you want to link to a database.
- On the Tools menu, point to Add-Ons, point to Visio Extras, and then click Database Wizard.
- On the first wizard page, click Next.
- Choose Link shapes to database records.
- Choose Shapes in a drawing.
- Follow the remaining wizard pages.
- After you finish the wizard, right-click each shape in your drawing and choose Select Database Record.
Using the Link To Database command
- Select the shapes you want to link to a database.
- On the Tools menu, point to Add-Ons, point to Visio Extras, and then click Link to Database.
- Select the database table or view you want to use.
- If you have a data source stored somewhere other than the default location, click Browse to locate the file.
- To make a new data source, click Create. Follow the Create New Data Source wizard. After you click Finish, the ODBC Setup dialog appears. From there you can either select an existing database or create a new one. You will make the table in the database later.
Tips
If you're using Microsoft Office Excel as a data source, you can select an existing workbook, but you can't create one from the wizard.
If you choose an Excel workbook, be sure to uncheck the Read only check box in the Select Workbook dialog box.
- If your database supports owners, in the Owner list, click an owner name to filter the list of the table owners. The database table is created using the name you logged on to the database with.
- If your database gives you access to multiple databases, in the Qualifier list, click the database you want to use.
Tip
The name and location of the database that your data will be linked to is listed here.
- In the Table list, click the database table you want to use. To create a new table, type a name for it.
- If you want, change the mapping between database fields and ShapeSheet cells.
Add a link between a field and a cell
- Click Add.
- Specify the database field and ShapeSheet cell that you want linked.
- In the Evaluate as box, select the Visio data type for the value stored in the database field.
Modify the link between a field and a cell
- Select a field and click Modify.
- Change the link between the database field and ShapeSheet cell.
Delete the link between a field and a cell
Select a field name and click Delete.
