Link diagrams to documents or Web pages in Visio 2002

Diagrams can be part of a larger set of information that includes other diagrams, other documents (such as worksheets and reports), and Web pages. By linking an entire diagram or an individual shape to other documents or pages, you place the diagram in context and add background details.

To add a hyperlink to a shape or drawing page

  1. Make sure that no shapes are selected on the drawing page.
  2. Click the shape to which you want to add a hyperlink.
  3. On the Insert menu, click Hyperlinks.
  4. In the Hyperlinks dialog box, do one of the following:
    • To link to a Web site, for Address, type the Web site’s URL, or click Browse, choose Internet Address, and then navigate to the site in your default Web browser. Select the Web site's URL and press CTRL+C to copy it to the Clipboard. Close the browser, select the Address box, and then press CTRL+V to paste the URL into the Hyperlinks dialog box.
    • To link to a document, for Address, click Browse, and then click Local file. Browse to the local file, and then click Open.
  5. Do one of the following:
    • To describe the location of the linked file in relation to the Visio diagram, leave the Use relative path for hyperlink check box selected.

      A relative path means that you can move the Visio diagram and linked file together without breaking the link. If you move only one of the files, however, you break the link.

    • To identify the exact location of the linked file by drive, folder, and file name, clear the Use relative path for hyperlink check box.

      You can move the Visio file without affecting the link, but if you move the linked file, you must reset the path.

  6. Click OK.

It's easy to identify shapes or pages with hyperlinks. When you move the pointer over a link, its appearance changes.

To follow a link to a document or Web page

  1. Right-click a shape or drawing page to which a hyperlink has been added.
  2. Click the name of the link you want.

Tip  When you display a Visio diagram in full screen or presentation view (on the View menu, click Full Screen), links on shapes or drawing pages behave just like hyperlinks on Web pages.
