Diagrams are communication tools, so after you build a diagram, you'll probably want to share it with others to get their ideas and comments.

This article describes two common ways to share diagrams:

Print a diagram

For most diagrams, printing is as easy as clicking Print on the Visio Standard toolbar.

To print a diagram

  1. Open the diagram.
  2. On the File menu, click Print Preview to see a preview of how your diagram will look on the printed page.
  3. If you're satisfied with the preview, on the Print Preview toolbar, click Print.
  4. Otherwise, click Setup, choose the options you want, click OK, and then click Print.

However, if your diagram is very large or very small, or if you have changed the drawing page orientation, you might have to adjust the printer settings to get the results you want.

Printing large diagrams

Some diagrams, such as flowcharts that describe complex processes or organization charts for large departments, can easily extend beyond the boundaries of a standard letter-size page. Before you print such a diagram, decide whether you want to:

  • Reduce it so that it fits on one letter-size page.
  • Print it across several letter-size pages.

If you decide to print the diagram across several pages, you can control the number of pages it prints across and the amount of overlap between pages.

Unless you reduce a diagram, it will tile — that is, print across several standard-size pages.

To print a large diagram on one letter-size page

  1. On the File menu, click Page Setup.
  2. On the Print Setup tab, under Print zoom, click Fit to.
  3. In the sheet(s) across and sheet(s) down boxes, type 1, and then click OK.

To control the number of letter-size pages a large diagram prints across

  1. On the File menu, click Page Setup.
  2. On the Print Setup tab, under Print zoom, click Fit to.
  3. Specify the number of sheets across and down, and then click OK.

To increase the overlap between printed pages

  1. On the File menu, click Page Setup.
  2. On the Print Setup tab, click the Setup button.
  3. Under Margins, type larger amounts in the left, right, top, and/or bottom margin settings boxes, and then click OK.

    Note  The larger the margins, the greater the overlap between pages.

Printing small diagrams

When you print a small diagram, the diagram takes up only a portion of a standard letter-size page. To improve the appearance of the printed result, you may want to center the diagram on the page.

You can adjust where a small diagram appears on the printed page.

To center a small diagram on the printed page

  1. On the File menu, click Page Setup.
  2. Click the Page Size tab, and then select Size to fit drawing contents.
  3. Click the Print Setup tab, and then click Setup.
  4. Under Small drawings, select the Center horizontally or Center vertically check boxes, or both. Under Margins, type the margin settings you want, and then click OK twice.

If your diagram extends farther horizontally than it does vertically, you will want to change the drawing page orientation from portrait (taller than it is wide) to landscape (wider than it is tall).

If you change the drawing page orientation without also changing the printed page orientation, a message appears when you try to print, stating, "One or more of your drawing pages is oriented differently from the printed page setup." If you choose to print anyway, the parts of your diagram that extend beyond the boundaries of the printed page don't print.

Portrait (top) and landscape (bottom) orientations

A diagram that fits on a landscape page may not fit on a portrait page. If the drawing page and printed page orientations differ, parts of your diagram may get cut off when you print.

To change the drawing page orientation

  1. On the File menu, click Page Setup.
  2. Click the Page Size tab, and select Pre-defined size.
  3. Under Page Orientation, select either Portrait or Landscape.
  4. Look at the display that shows the drawing page and printed page sizes and orientations, and if the sizes match, click OK. If the sizes don't match, click the Print Setup tab. For Paper orientation, click the other orientation, and then click OK.

To correct incompatible drawing page and printed page orientations

  1. If you try to print and see the message "One or more of your drawing pages is oriented differently from the printed page setup," click Cancel.
  2. On the File menu, click Page Setup.
  3. Click the Page Size tab, and select Same as printer paper size.
  4. Click the Print Setup tab, select the paper orientation you want, and then click OK.

Send a diagram through e-mail

You have finished assembling a diagram in Visio that describes your ideas for reorganizing your department, and you're eager to get comments from other members of your team. Without closing the diagram or switching to another program, you can send the diagram as an e-mail attachment to as many recipients as you want. Or you can set up a routing list and track comments about the diagram from each team member.

When you send an open diagram through e-mail, the e-mail message automatically lists the diagram name as its subject and includes the diagram as an attachment.

To send a diagram through e-mail

  1. Open the diagram that you want to send.
  2. On the File menu, point to Send To, and then click Mail Recipient (as Attachment).
    If your mail program is not yet running, it will start up, and a new e-mail message will open.
  3. Type the names of the people to whom you want to send the diagram, type a message if you want, and then click Send.

To route a diagram to a list of recipients

  1. Open the Visio diagram that you want to send.
  2. On the File menu, point to Send To, and then click Routing Recipient.
  3. In the Routing Slip dialog box, click Address to select and add the names of the recipients, and then click OK.
  4. Type a message to accompany the diagram if you want, choose the other options you want, and then click Add Slip.
  5. On the File menu, point to Send To, and then click Next Routing Recipient.
  6. In the Send dialog box, choose the Route Drawing To option, and then click OK.
