Design a Visio 2002 diagram to enhance a PowerPoint slide

Text and colors that work well in a Visio diagram don't always look as good when you include the diagram in a PowerPoint presentation.

For example, text that you can read clearly in the diagram may be too small for an audience to see when the diagram is part of a slide presentation. And the colors of the diagram elements may need adjusting so they don't conflict with or get drowned out by the slide's background color.

There are ways to create a diagram so it will work well in a presentation. And there are ways to work around colors in a diagram that you can't change.

Set up text and color to work well in a presentation

The following table describes steps you can take in Visio to prevent problems with text and colors after you include a diagram in a PowerPoint presentation.

How to set up text and color in Visio

Ensure that text is large enough for a presentation audience to read. Use a font size in the diagram that is one or two points larger than you typically use.
Make text stand out. Use high contrast in the diagram. For example, use black letters on a white background, white letters on a black background, or yellow letters on a blue background.
Design your diagram elements using the PowerPoint color scheme. Create the Visio diagram from within PowerPoint. When you are asked to decide if you want your shapes to use the PowerPoint color scheme, click Yes.

Work around colors you can't change

If you can't change the colors in a Visio diagram and the existing colors don't work well with the PowerPoint color scheme, you can work around the problem.

Placing a Visio diagram on a PowerPoint slide

Before you add a Visio diagram to a slide, you can use the PowerPoint drawing tools to draw a rectangle on the slide, and then fill the rectangle with a color that shows off the Visio diagram well.

To create and fill a rectangle on a PowerPoint slide

  1. In PowerPoint, with the slide where you want to include a Visio diagram displayed, on the Drawing toolbar, click the Rectangle.

    If you don't see the Drawing toolbar, on the View menu, point to Toolbars, and then click Drawing.

  2. Click the slide to insert a rectangle.
  3. Position the mouse pointer over one of the sizing handles and drag until the rectangle will contain the diagram.
  4. On the Drawing toolbar, use the Fill Color and Line Color tools to color the rectangle appropriately.
  5. Add the Visio diagram to the slide, and center it in the rectangle.

Tip  If you have to resize the rectangle after you add the Visio diagram to the slide, the rectangle may hide the diagram. To bring the diagram to the front, on the PowerPoint Drawing toolbar, click Draw, point to Order, and then click Bring to Front.
