ShowWhy can’t I edit some Microsoft Office documents on my phone?

You might not be able to open or edit some documents on your phone depending on what's in it or how it was last saved. Here are some of the more common things that make a document read-only on your phone.

The file is:

  • Saved as an older type of Microsoft Office document, such as a Microsoft Word 97-2003 document (.doc), Microsoft Excel 97-2003 workbook (.xls), or Microsoft PowerPoint 97-2003 presentation (.ppt).
  • Digitally signed.
  • Marked as final.
  • Protected using rights management.
  • Protected with restricted editing rights.

Microsoft Word documents are read-only if they have:

  • Track Changes enabled.
  • Frames.
  • Custom markup (custom XML, Structured Document Tags (SDT), or smart tags).
  • XML tags with unsupported values.   

Also, there are cases where you can edit the Word document but can’t edit certain sections like:

  • If a select section contains an image or clipart.
  • TOCs.

Microsoft Excel workbooks are read-only if they have:

  • Functions that aren't supported on the phone.

  • Formulas that are longer than 512 characters or have more than 30 arguments in them.

  • XML markup that isn't formed correctly.
  • OLE objects or ActiveX controls.

For Microsoft PowerPoint presentations on your phone, you can only make certain types of edits like editing text in a text box, adding or editing notes, changing the order of slides, or hiding slides.

To share your document, send it as an email attachment.

  • Open the document and then on the action bar, tap Overflow menu in Office documents > Share.

ShowHow do I get documents from the computer to my phone?

The best way to get your Office documents to the phone is to first save the documents on OneDrive from your computer, and then view them from your phone.

To save the document on OneDrive from your computer:

  1. With a document open in an Office program, click File > Save As > OneDrive.

  1. If you haven’t signed in, do that now by clicking Sign In.

Or if you haven’t signed up for a Microsoft account, click Sign up.

  1. After you sign up or sign in, save your document to OneDrive.

To connect to OneDrive from your phone:

  1. Open Office Mobile.
  2. Tap Open >Add a place.
  3. Select the service you used to save your documents, and then sign in with the relevant email address and password.
  4. Tap the service where your document is saved, and then tap on the document to open it.

ShowSometimes I can’t open a file from a SharePoint site. What’s wrong?

It could be because the file’s using a short URL, which doesn’t work on an Android phone. You can only open files that show the complete SharePoint URL looking something like this: <http://adatum.contoso.com/file name/>.

If you don’t have the complete URL, try opening this file on another non-Android device.

ShowCan I open and edit Office documents on my computer after using them on my phone?

Yes. After you get the Office documents onto your computer (either via email, OneDrive, or Microsoft SharePoint), you can pick up where you left off and edit them on your computer using Microsoft Office 2013 or Microsoft Office Online in your web browser.

From your phone, you can save your documents to Microsoft OneDrive. Or, if your organization uses Microsoft SharePoint, you can open and edit documents on your phone from the SharePoint site, and then save your changes back to the SharePoint site.

Yes, you can continue to work on your Office document when you’re offline. Just make sure you’re connected to the Internet when you are ready to save your changes back to OneDrive.

Word Double-tap a word and then tap Comment button in Word.
Excel Tap to select the cell where you want to insert the comment, and then on the action bar, tap Overflow menu in Excel > Add comments.

You can’t add comments in PowerPoint.
