Connected accounts

This article shows you how to set up and manage connections with your accounts. You can:

  • Connect your Outlook Web App account to other email accounts   Keep track of email from other accounts by setting up a connection to the other email services. You can connect up to five other accounts, such as Outlook.com (formerly Hotmail), Gmail, and Yahoo! Mail accounts. This lets you send, receive, and read email all in one place.
  • Forward email    Forward your email from your Outlook Web App account to another account.
  • Connect to your contacts in supported services   Add people to your contact list by setting up a connection with a supported networking or social connection service. LinkedIn and Facebook are supported for this release. Adding your contacts lets you access information for all your contacts from a variety of sources.

 Note    Some of the tasks that go along with these features may not be supported for your account or service plan. If you don’t see the Connected accounts tab, these features aren’t available for your account.

Connect to another email account

Create a connection to another account

  1. Before you connect to download mail from another email account, you may need to turn on POP or IMAP access from the other account. For more information, see Turn on POP or IMAP access to connect to another account.
  2. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  3. Click New new.
  4. In the New Account Connection dialog box, type the email address and password of the account you want to connect to, and then click Next.
  5. When you see the message that your accounts are connected, click Finish. Messages sent to your connected account will appear in your Inbox.

Stop connecting to a connected account

You can stop connecting to a connected email account in Outlook Web App by removing the connection.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. Under Account Name, select the account you want to stop connecting to.
  3. Click Delete delete to remove the connection.
  4. Click Yes in the dialog box to confirm that you want to stop connecting to the account.

Update a connection to a connected account

You can edit the settings for a connected account, for example, if you need to update the settings to match changes that occurred with your connected account.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. Select the account you want to edit.
  3. Click Edit edit.
  4. Update the email address or password of the account, and then click next.
  5. When you see the message that your accounts are connected, click Finish.

Choose the default reply address

You can specify the email address that displays in the From field when you reply to messages that are sent to one of your connected accounts.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Default reply address section, use the drop-down menu to choose the account you want users to see in the From field of messages you send.
  • Choose Automatic if you want the From field of messages you reply to from Outlook Web App to match the email address the message was originally sent to.
  • Choose your Outlook Web App email address if you want your Outlook Web App email address to appear in the From field of messages you reply to from Outlook Web App.
  • Choose one of your connected account email addresses if you want the From field of all messages you reply to from Outlook Web App to match the email address of one of your connected accounts.
  1. Click Save.

Forward email to another email account

Set email forwarding for your account

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Forwarding section, in Forward my email to, type the email address you want to forward your Outlook Web App email to.

 Note    By default, Outlook Web App keeps a copy of forwarded messages in your Outlook Web App mailbox after you set up forwarding. If you don’t want to keep a copy of messages in your Outlook Web App mailbox, clear the Keep a copy of forwarded messages in Outlook Web App check box.

  1. Click Start Forwarding.

Stop email forwarding

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Forwarding section, click Stop Forwarding delete.

Change email forwarding settings

After you’ve set up email forwarding, you may want to edit the destination email address for your messages. You may also want to change the setting for keeping a copy of your email in your Outlook Web App mailbox.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Forwarding section, do one of the following:
  • To change the destination email address, in Forward my email to, edit the email address.
  • To change whether you want to keep a copy of messages in your Outlook Web App mailbox, select or clear the Keep a copy of forwarded messages in Outlook Web App check box.
  1. Click Save.

Connect to LinkedIn

Add a connection to LinkedIn

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Connect Office 365 to your networks section, next to LinkedIn, click Connect.
  3. Enter the email address and password associated with the LinkedIn account that you want to connect to, and then follow the prompts to set up your account.

After you follow these steps, contacts from LinkedIn will appear in People in Outlook Web App.

End a connection to LinkedIn

You can remove a connection to LinkedIn if you change the account password for that service, or for any other reason.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Connect Office 365 to your networks section, next to LinkedIn, click Remove.
  3. Click Yes in the dialog box to confirm that you want to remove the connection.

After you remove a connection, you won’t be able to view and access your contacts from LinkedIn in Outlook Web App.

Connect to Facebook

 Important    If you do not see Facebook listed under connect Office 365 to your networks, Facebook is not currently supported for your organization.

Add a connection to Facebook

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Connect Office 365 to your networks section, next to Facebook, click Connect.
  3. Enter the email address and password associated with the Facebook account that you want to connect to, and then follow the prompts to set up your account.

After you follow these steps, contacts from Facebook will appear in People in Outlook Web App.

End a connection to Facebook

You can remove a connection to Facebook if you change the account password for that service, or for any other reason.

  1. In Outlook Web App, click Settings settings > Options > Account > Connected accounts.
  2. In the Connect Office 365 to your networks section, next to Facebook, click Remove.
  3. Click Yes in the dialog box to confirm that you want to remove the connection.

After you remove a connection, you won’t be able to view and access your contacts from Facebook in Outlook Web App.

What else do I need to know?

  • For more information about connecting to other email accounts, setting up message forwarding, and connecting to LinkedIn and Facebook, check out Learn about connecting to other accounts.
  • By default, messages sent to your connected accounts will appear in your Inbox folder. You can use the Inbox rule It was sent from… or It was sent to… and choose the email address of your connected account to move messages from that account to a folder in your mailbox. For more information, check out Inbox rules.
  • In most cases, you must be signed up for the Yahoo! Mail Plus service to download email from a Yahoo! account.
  • You can only add an Outlook.com, IMAP-enabled, or POP-enabled email account. To receive mail from an account other than these types of accounts, set up email forwarding from that account.
  • Not all features are available to all mailboxes. The features that are available to you are determined by the service contract for your account or the settings made by your administrator.
