Why is some information not visible on my dashboard?

You might discover, when you view a PerformancePoint dashboard, that you cannot see everything that you expect to see. Some elements of the dashboard might not be visible to you. This usually happens when you do not have the required permissions or you are not assigned to the required role. If you do not have the required permissions, you may be unable to view anything at all. And, depending on your role in your organization, or the security role to which you are assigned, you may be barred from viewing certain content.

What do you want to do?


You need two kinds of permissions before you can view and interact with a PerformancePoint dashboard:

  • SharePoint permissions
  • Data source permissions

SharePoint permissions

Your SharePoint permissions are assigned to you by your site administrator. Those permissions determine what you can access on your SharePoint site and what you can do on that site. To view a dashboard on a SharePoint site, you must at least have Read permissions for the site. Your administrator can grant permissions to you as an individual, or as a member of a particular group, or both.

If you cannot view a dashboard at all, contact your SharePoint administrator to obtain the permissions that you must have.

 Note   An "Access denied" message appears on the page if you do not have the necessary permissions.

Data source permissions

The data that you view on a dashboard can come from various sources. To view it, you must have Read permissions to the data that is included in PerformancePoint reports and scorecards. If you cannot see a particular report or scorecard, you might not have the necessary Read permissions to the data that is stored in the data source. Contact your IT administrator to request the required permissions.

 Note   If you have permission to the page, but not to data in a particular report, you will see the Web Part frame, but not the data. A message will state that you do not have the necessary permissions to view the report.

All information that is deployed on a dashboard is associated with a security role and each person who views a dashboard is also assigned a security role. That role determines what you can and cannot see and what you can and cannot do on a PerformancePoint dashboard. Your SharePoint site administrator assigns permissions to each dashboard element. This ensures that people can view only the information that they are supposed to see.

If, for example, you are a salesperson, you might be restricted to viewing only your own sales data, whereas your manager can view the sales data for every salesperson on your team. Your sales manager might, in turn, be limited to viewing data for your team. However, the district sales manager can view sales data for every sales group in the district.

Errors in data

Occasionally your dashboard will display "Err" in places where you expect to see data. That happens occasionally when the dashboard is idle for some time and the data has not been refreshed. Press F5 to refresh your dashboard.

Trust location issues

A PerformancePoint trusted location is a location in SharePoint Server 2010 from which dashboard content can be run. An administrator designates content in certain lists and libraries as "trusted locations," which means that content in those locations can access data sources through PerformancePoint Services. This designation provides a location for dashboard-specific objects and data sources to reside and helps ensure the integrity of the data that they contain. It also prevents the use of personal data sources, such as those that exist in My Sites or other locations.

When you open a dashboard in a SharePoint site, certain checks occur in the background. Your permissions to the lists and libraries are verified. Then, additional checks are completed to verify that the content is stored in a trusted list or library that allows data to be accessed through PerformancePoint Services. If some dashboard content does not exist in a trusted location, error messages are displayed in Web Parts that have such content. Contact your SharePoint site administrator for more information.
