Customize navigation links on the Quick Launch

The Quick Launch is displayed on the side of most user-facing pages directly below the View All Site Content link.

Quick launch navigation

You can use the Quick Launch to display section headings and links to different areas of your site in a logical manner. Neither the Quick Launch nor the View All Site Content link is displayed on site administration pages, such as the Site Settings page and the pages on which site administrators create and edit lists, libraries, workspaces, and Web pages. On a Microsoft Office SharePoint Server 2007 site, you can customize the Quick Launch by adding, removing, or reordering, links. You can also hide links to subsites and pages. You can even add links to pages outside the site.

 Note   To manage navigation for a SharePoint site, you must have the Full Control or Design permission level for the site. You have one of these permission levels if you can access the Sites Settings page for the site and you see the Navigation command under Look and Feel (on non-publishing sites, you will see the Quick Launch and Top link bar commands under Look and Feel instead of Navigation).



Learn how navigation options differ between a publishing site and a non-publishing site

Before you start to customize the navigation for your site, you need to determine whether or not the publishing features available with Office SharePoint Server 2007 are enabled for the sites in your site collection (site collection: A set of Web sites on a virtual server that have the same owner and share administration settings. Each site collection contains a top-level Web site and can contain one or more subsites.). It is important to know whether or not your site is a publishing site because the navigation customization options for a publishing site are more extensive than those available for a non-publishing site.

Determine what navigation customization options you have

Depending on which type of site you have, you will see different navigation options on the Site Settings page. Here's how you can quickly determine which type of site you are working with:

  1. On the Site Actions menu, point to Site Settings. If necessary, click Modify All Site Settings.
  2. Look at the list of links on the Site Settings page under Look and Feel.
    • If you see a link titled Navigation, then you are working with a publishing site and you can customize your site using the Site Navigation Settings page.
    • If you see links titled Top link bar and Quick Launch, then you are working with a non-publishing site and you have a more limited set of navigation configuration options available to you.

Configure inheritance for the Quick Launch

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. In the Current Navigation section, do one of the following:
    • To display the same navigation items as the parent site, click Display the same navigation items as the parent site.

Select this option if you want to provide site visitors with an easy way to navigate to other sites in the site collection and you want this site to have a consistent look and feel with other sites in the site collection.

  • To display navigation links for the current site, items below the current site, and for sites that are siblings to the current site, click Display the current site, the navigation items below the current site, and the current site's siblings.

Select this option if you want site visitors to be able to use the Quick Launch both to navigate to items below the current site and to navigate to sibling subsites within the site collection.

  • To display navigation items below the current site, click Display only the navigation items below the current site.

Select this option if you want the Quick Launch to display only items below the current site.

Show or hide the Quick Launch

The Quick Launch appears by default when you first create a site. You can choose to show or hide the Quick Launch, according to the needs of your site. For example, you can show the Quick Launch on the top-level site and hide it on subsites.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Tree view.
  1. Do one of the following:
    • To show the Quick Launch, select the Enable Quick Launch check box.
    • To hide the Quick Launch, clear the Enable Quick Launch check box.
  2. Click OK.
  1. Click the name of the site to return to the site home page.

Add or remove a list or library from the Quick Launch

On some sites, when you create a new list or library, a link to that item is automatically added to the Quick Launch. You can change the Navigation option at the time that you create a new list or library so that the list or library does not appear on the Quick Launch. You can also change the option later by editing the General Settings for the list or library.

Add or remove an individual list or library from the Quick Launch

  1. Click View All Site Content.
  2. Click the name of the list or library.

On the Settings menu Settings menu, click List Settings, or click the settings for the type of library that you are opening.

For example, in a document library, click Document Library Settings.

  1. In the General Settings column, click Title, description and navigation.
  2. In the Navigation section, do one of the following:
    • To remove the item from the Quick Launch, click No.
    • To add the item to the Quick Launch, click Yes.
  3. Click Save.
  1. Click the name of the site to return to the site home page.

Remove multiple lists or libraries from the Quick Launch

If the publishing features in Office SharePoint Server 2007 are enabled for your site, you can also use the Site Navigation Settings page to quickly remove multiple lists or libraries from the Quick Launch.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. In the Navigation Editing and Sorting section, select the list or library that you want to remove from the Quick Launch, and then click Delete.
  2. Repeat step 3 to remove any additional lists or libraries.
  3. When you are finished removing lists and libraries, click OK.

Change the order of items on the Quick Launch

You can change the order in which headings or links appear on the Quick Launch. The steps you take to do this differ depending on whether or not the publishing features are enabled for your site.

Change the order of Quick Launch items on a non-publishing site

On a non-publishing site, you can change the order of the links only under a given heading. For example, you may have a heading called Lists that contains links for Calendar and Tasks. You can move the Lists heading to a different location on the Quick Launch, but you can change the order of Calendar and Tasks only under the Lists heading. To move Calendar or Tasks to a different heading, you first need to edit the link to assign it to a different heading.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Quick Launch.
  1. Click Change Order.
  2. Click the options in the lists to change the order in which the headings and links are displayed.
  3. Click OK.
  1. Click the name of the site to return to the site home page.

Change the order of Quick Launch items on a publishing site

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. In the Navigation Editing and Sorting section, select the item you want to move, and then click Move Up or Move Down until you have moved the item where you want it.

 Note   If the Navigation Editing and Sorting section displays lists for both Global Navigation and Current Navigation, you need to select the items under Current Navigation to change the order of items on the Quick Launch.

  1. Repeat step 3 to change the order of any additional items.
  2. When you are finished reordering items, click OK.

Add, edit, or delete a Quick Launch heading

The steps you take to add, edit or delete a Quick Launch heading differ depending on whether or not the publishing features are enabled for your site.

Add, edit or delete a Quick Launch heading on a non-publishing site

On the home page for the site, click the Site Actions menu Site Actions menu, and then click Site Settings.

 Note   On a site for which the Site Actions menu is customized, point to Site Settings, and then click the settings that you want to view.

  1. In the Look and Feel column, click Quick Launch.
  1. Do one of the following:
    • To add a new heading, click New Heading. Type the URL and a description for the heading, and then click OK.
    • To edit a heading, click the Edit button Button image. Make any necessary changes to the URL and description, and then click OK.
    • To delete a heading, click the Edit button button image, and then click Delete.

 Note   When you delete a heading from the Quick Launch, any links contained under that heading are also deleted.

  1. Click OK.
  1. Click the name of the site to return to the site home page.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. Do one of the following:
    • To add a heading, in the Navigation Editing and Sorting section, click Current Navigation (if available) to select the Quick Launch, and then click Add Heading. Type the Title, the URL, and any description that you want to provide. If you want the link to open in a new browser window, select Open link in new window. If you want to target this heading to an audience so that it is only visible to people who belong to a specific group, select the individuals or groups to whom you want it to display. Click OK.
    • To edit a heading, select the heading you want, click Edit. Make any necessary changes to the Title, URL, description or other settings.
    • To delete a heading, select the heading you want, and then click Delete.

 Note   When you delete a heading from the Quick Launch on a publishing site, the links contained under that heading are not deleted and they will display as headings once their original heading is deleted.

  1. Click OK.

Add a Quick Launch link

The steps you take to add a Quick Launch link differ depending on whether or not the publishing features are enabled for your site.

Add a Quick Launch link on a non-publishing site

In addition to including links to lists or libraries on your site, you can add custom links to the Quick Launch. For example, you can include a link to information that you or members of your organization use frequently, such as a document, a calendar event, or even another site.

On the home page for the site, click the Site Actions menu Site Actions menu, and then click Site Settings.

 Note   On a site for which the Site Actions menu is customized, point to Site Settings, and then click the settings that you want to view.

  1. In the Look and Feel column, click Quick Launch.
  1. Click New Link.
  2. Type the URL and a description for the link.
  3. In the Heading list, select the heading under which you want the link to appear.
  4. Click OK.
  1. Click the name of the site to return to the site home page.

Add a Quick Launch link on a publishing site

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

  1. In the Navigation Editing and Sorting section, click the heading under which you want to create the new link, and then click Add Link.
  2. Type the Title, the URL, and any description that you want to provide. If you want the link to open in a new browser window, select Open link in new window. If you want to target this link to an audience so that it is only visible to people who belong to a specific group, select the individuals or groups to whom you want it to display. Click OK.
  3. Click OK.

Edit, move, or delete a Quick Launch link

The steps you take to edit, move, or delete a Quick Launch link differ depending on whether or not the publishing features are enabled for your site.

Edit, move, or delete a Quick Launch link on a non-publishing site

On the home page for the site, click the Site Actions menu Site Actions menu, and then click Site Settings.

 Note   On a site for which the Site Actions menu is customized, point to Site Settings, and then click the settings that you want to view.

  1. In the Look and Feel column, click Quick Launch.
  1. Click the Edit button button image for the link that you want to edit or delete, and then do one of the following:
    • To edit the link, make any necessary changes, and then click OK.
    • To move the link to a different location on the Quick Launch, in the Heading list, select the new heading under which you want the link to appear, and then click OK.
    • To delete the link, click Delete, and then click OK.
  2. Click the name of the site to return to the site home page.

Edit, move, or delete a Quick Launch link on a publishing site

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  1. In the Navigation Editing and Sorting section, select the link you want to change. Do one of the following:
    • To edit the link, click Edit, make any necessary changes, and then click OK.
    • To move the link to a different location on the Quick Launch, click Move Up or Move Down.
    • To delete the link, click Delete.
  2. Click OK.

Hide or show individual subsites or pages on a publishing site

If you are working on a publishing site, you can hide subsites and pages to prevent them from displaying on the Quick Launch. One advantage of hiding items from navigation is that you can prevent them from displaying to users while they continue to display in the navigation hierarchy that you use to manage your site on the Navigation Settings page. If you want to show an item again, you can select it and click Show to restore it to visibility in the navigation of the site.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. In the Navigation Editing and Sorting section, click the subsite or page that you want to hide or show.
  2. Do one of the following:
    • To hide the item click Hide.
    • To show an item that was previously hidden, click Show.

 Note   The Hide and Show commands are available only for navigation items that are subsites or pages. You cannot hide lists, libraries, or links to external Web sites.

  1. Click OK.

Automatically sort items on the Quick launch

If you are working on a publishing site, you can sort navigation items automatically instead of manually.

 Note   The Sorting settings apply to both the Quick Launch and the top link bar. Any changes you make are applied to both of these navigation elements.

  1. Do one of the following:
    • On the Site Actions menu, click Site Settings.
    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.
  2. In the Look and Feel column, click Navigation.

 Note   The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  1. In the Sorting section, click Sort automatically to sort subsites, navigation links, lists, libraries, and pages automatically in ascending or descending alphabetical or numerical order based on items titles, Created Dates, or Last Modified Dates.

 Note   If you want to sort all navigation items manually except for pages, click Sort manually, and then select the Sort pages automatically check box. Only pages will be sorted according to the settings configured in the Automatic Sorting section.

  1. In the Automatic Sorting section, in the Sort by list, do one of the following:
    • To sort items by title, click Title.
    • To sort items by the date they were created, click Created Date.
    • To sort items by the date on which they were last modified, click Last Modified Date.
  2. Specify the sort order by clicking either in ascending order (A,B,C or 1,2,3) or in descending order (C,B,A or 3,2,1).
  3. Click OK.
