Choose tasks for your personal timeline

The timeline on your personal site provides a visual reference to all of your tasks that have associated start and/or due dates, including those from various task lists on SharePoint sites, and, if you use them, task lists in Outlook and Project Web App. Your own personal tasks are also included on the timeline. Depending on your workload, you may want to take some steps to bring clarity to a cluttered timeline, or you may want to add a task to your timeline after removing it.

Bring clarity to a cluttered timeline

By default, the timeline displays all tasks assigned to you that have a start or due date that falls within one week prior to the current date, or within three weeks after the current date.

 Note    You can change the number of days displayed on the timeline by clicking Settings on the Tasks tab of the ribbon. For more information, see Change settings for the My Tasks page.

If your time is split between several different tasks at the same time, your timeline may end up looking cluttered and you may not find it to be a particularly helpful tool for understanding your workload.

There are a few things you can do to help bring clarity to a cluttered timeline:

Change the colors, fonts, and structure of the timeline

You can add color or pull some tasks out as callouts above the timeline. For more information on these options, see Change the appearance of the timeline.

Use a filter to show only certain projects

You might find it helpful to filter the My Tasks page, so that only the tasks from specific projects are displayed. To filter the My Tasks page, click Additional Options (), and then click the check box next to each task list or project that you want to include on the page. By filtering which task lists show up on the My Tasks page, you also filter which tasks are displayed on your personal timeline.

 Note    Don’t see a certain project in the filter list? Projects can be hidden from the My Tasks page. For more on this setting, see Change settings for the My Tasks page.

Search for a specific task

If you are looking for a specific task on your timeline, you can type the task name, or keywords that might be in the task description, in the Find a task box at the top of the My Tasks page, and then press Enter to perform the search. Only those tasks that meet the search criteria are displayed.

Remove tasks from your timeline

Another option might be to remove some of the tasks from your timeline, so that only those that you really want to track closely are displayed.

 Note    Removing a task from the timeline only changes where it is displayed. It does not remove the task itself from its original task list.

There are a few different ways to remove a task from your personal timeline:

  • On the My Tasks page, under Important or Upcoming, hover the mouse cursor over the task that you are removing from the timeline, and then click the check mark on the left side of the task row to select it. On the Tasks tab, in the Actions group, click Add to Timeline. This toggles between showing and hiding the task on the timeline.
  • On the My Tasks page, click the bar, diamond, or callout for the task you want to remove from the timeline, and then click Remove from Timeline on the box that appears.
  • On the My Tasks page, click the bar, diamond, or callout for the task you want to remove from the timeline. On the Timeline tab, in the Current Selection group, click Remove from Timeline.
  • On the My Tasks page, click Additional Options () for a task in the list, and then click Remove from Timeline on the box that appears.

 Note    Don’t see the task you want to remove under Important or Upcoming? The task may have already been completed, or it may be an active task that is scheduled for a time too far ahead to show up under Upcoming. You can change views on the My Tasks page to see more of your tasks. For more information on the date range used for the Upcoming list, see Change settings for the My Tasks page.

Add a task to your timeline

After you have removed a task from your personal timeline, you may decide that you’d like to add it back.

To add a task to your personal timeline:

  1. On the My Tasks page, under Important or Upcoming, hover the mouse cursor over the task that you are adding to the timeline, and then click the check mark on the left side of the task row to select it.
  2. On the Tasks tab, in the Actions group, click Add to Timeline. This toggles between showing and hiding the task on the timeline.

Another way to add a task to your personal timeline is to click Additional Options () for the task, and then click Add to Timeline.
