Create Nametags in Publisher 2000
 

Nametags are useful at many types of gatherings. They can be printed on sticky labels, or on plain paper and then inserted into plastic nametag holders. You can create a list of names using the Publisher Address List, or you can use a list from another Microsoft Office program, such as Word, Excel, Access, or Outlook. First, design a nametag in Publisher. Then, use Mail Merge in Publisher to print the nametags.

To design your nametag in Publisher

  1. If the Catalog is open, click Exit Catalog.
  2. On the File menu, click Page Setup.
  3. Click Labels, and then click a predefined nametag label.
  4. To explore your design options, in the Quick Publication Wizard pane, click Design, Color Scheme, or Layout.
  5. On the Objects toolbar, click the Text Frame Tool, position the mouse pointer where you want the text frame for the name to appear, and drag the mouse diagonally until the frame is the size you want.
  6. In your new text frame, type a sample name, and any other fields you want on each name tag, such as title. Use the longest name and title in your list.
  7. On the File menu, click Save.

To create a name list in Publisher

  1. On the Mail Merge menu, click Create Publisher Address List.
  2. For the first person on your list, type the information you plan to use in your nametag, such as First Name, Last Name, and Title.
  3. For each additional person, click New Entry and then type the information.
  4. Click Close.
  5. Specify the file name and location where you want to save the name list, and then click Save.

To merge your name list with the nametag you designed

  1. On the Mail Merge menu, click Open Data Source.
  2. Click Merge information from another type of file.
  3. Specify the file you just saved, or another file that contains a name list.
  4. In your design, highlight the sample first name.
  5. In the Insert Fields dialog box, highlight First Name, and then click Insert.
  6. Highlight the sample last name, highlight Last Name, and then click Insert.
    Make sure you have a space between the first name and last name fields in your nametag.
  7. Repeat step 6 for other fields in your nametag, and then click Close.
  8. On the Mail Merge menu, click Merge.
  9. Preview each nametag, and then click Close.
  10. On the File menu, click Save.

After previewing your nametags, you may want to adjust your formatting and layout. To preview your nametags again, click Show Merge Results on the Mail Merge menu.

To print your nametags

  • On the File menu, click Print Merge.
    The nametags will be printed to fit on sheets of the label type you selected. If you do not have labels, take your nametags to a copy center, and copy them onto labels.
