Create and send email newsletters

The key decision in creating and sending an email newsletter is how you want the newsletter delivered and what you know about how your audience will read it. Save your newsletter as a PDF and attach the PDF to your email and you preserve the layout and formatting and not worry about what email your clients are using or if they have Publisher. Send the newsletter as the message if you want the newsletter to be the email, and you’re willing to have it appear slightly different to different readers. Use email merge if you want to personalize your newsletter for your readers, this will send the newsletter as the email message.

Send your newsletter as an email attachment

When you want recipients to read the content of your publication in its original format, send your publication as an attachment. This way you don’t need to use an email template, you can use an existing customized newsletter template to create the newsletter. You can send you attachment in any of these three formats:

  • A Publisher publication
  • A PDF file
  • An XPS file

The best option is to send it as a PDF. When you send your publication as an email attachment, you do not need to preview its appearance in a browser, because email recipients will open and view the publication in the correct program.

  1. To send the message, click the File tab > Share > E-mail and do one of the following:
    • To send the publication as a publication attachment, click Send as Attachment.

 Important    When you send a Publisher publication as an e-mail attachment, the recipient must have Publisher installed to view the publication.

  • To send the publication as a PDF attachment, click Send as PDF.
  • To send the publication as an XPS attachment, click Send as XPS.
  1. In the message header, in the To and Cc boxes, type or select e-mail addresses for the recipients.
  2. In the Subject box, add a title for the e-mail message.
  3. On the toolbar above the message header, choose any other options that you want.
  4. Click Send.

Publisher includes many designs for attractive, high-impact e-mail newsletter that you can send as messages.

Create the newsletter

E-mail templates in Publisher

  1. Start Publisher and click Built-In.
  2. In the list of publication types, scroll to select E-mail.
  3. Under E-mail, scroll down to find Newsletters and select the newsletter template you want to use.
  4. Choose the options that you want.

You can set the color scheme and font scheme, as well as insert your business information, before you create the publication. Do any of the following:

  • Under Customize, click the color scheme and font scheme that you want.
  • Under Customize, click the business information set that you want.
  1. Click Create.
  2. In your e-mail publication, replace the text and pictures in the publication with your own content.
  3. Save the e-mail newsletter.

Now that you’re finished creating your newsletter, you can send it as email.

Preview and send the newsletter

To preview the message as it will appear when it is sent, click the File tab > Share > E-mail Preview > E-mail Preview.

  1. To send the message, click the File tab > Share > E-mail > Send Current Page.
  2. In the message header, in the To and Cc boxes, type or select e-mail addresses for the recipients.
  3. In the Subject box, add a title for the e-mail message.
  4. On the toolbar above the message header, choose any other options that you want.
  5. Click Send.


 Notes 

  • After you preview the page by using E-mail Preview, send the page as an e-mail message to yourself to see whether you want to make any final changes before you send it to your intended recipients. When you send the page to your own e-mail account, you can see what the file size is (in case the file size is an issue for you or your recipients).
  • The appearance of your e-mail message may differ slightly from one recipient's e-mail program to another.
