Issue: Large graphics files increase the file size of Web sites

Large graphics files can be a problem when you create Web sites in Publisher 2003 because they can increase the overall file size of your Web site. If your Web site files become very large, you might encounter the following issues:

  • Your Web site might take a long time to publish at slow connection speeds.
  • Your Web site might take a long time to download into browsers when people visit your Web site, or pictures might not display.
  • You might have to pay additional money to your Web hosting service to publish a large Web site.

Solution: Compress graphics files to create smaller Web site files

If you have installed Office 2003 Service Pack 1, Publisher provides you with a way to reduce the size of the graphics files in your Publisher Web site. Service Pack 1 contains an update for Publisher that adds a Compress Pictures button to the Picture toolbar in Publisher. You can use Compress Pictures to reduce the file size of the graphics in your Web publications.

To compress the graphics files in your Web publications, follow these steps:

  1. Download and install Microsoft Office 2003 Service Pack 1.
  2. Reset the Picture toolbar to add the Compress Pictures button.
  3. Compress the graphics files in your Web publication to prepare it for publishing.

Step one: Download and install Microsoft Office 2003 Service Pack 1

To download Office 2003 Service Pack 1, follow the link in the See Also section of this article. After you've installed Service Pack 1, you can reset the Picture toolbar to add the Compress Pictures button to the toolbar, and then optimize your Web publication before publishing it to the Web. For more information about publishing your Web pages, follow the links in the See Also section of this article.

If you have already installed Service Pack 1, you can proceed directly to Step two.

Step two: Reset the Picture toolbar to add the Compress Pictures button

After you've downloaded Service Pack 1, you must add the Compress Pictures button to the Picture toolbar in Publisher. The Compress Pictures button will not appear automatically.

To reset the Picture toolbar

  1. Open Publisher 2003.
  2. If the Picture toolbar is not visible on the View menu, point to Toolbars, and then click Picture.
  3. Click the arrow at the right end of the Picture toolbar, click Add or Remove Buttons, click Picture, and then click Reset Toolbar.

The Compress Pictures button is added to the Picture toolbar.

Step three: Compress the graphics files in your Web publication to prepare it for publishing

The Compress Pictures button on the Picture toolbar enables you to reduce the file size of the graphics in your Web site so that you can decrease the overall file size of the Web site before you publish it to the Web.

To compress graphics to optimize a Web publication for publishing

  1. Click the Compress Pictures button on the Picture toolbar.
  2. In the Compress Pictures dialog box, under Apply to, select All pictures in document.
  3. Under Change resolution, select Web/Screen.
  4. Click OK.
  5. If a message appears asking if you want to apply picture optimization, click Apply.

The overall file size of the Web site is reduced, and you can publish the Web site to the Internet.
