Build new business with Publisher gift certificates

Savvy business owners use gift certificates as an integral part of their promotions because they are easy to prepare and create happy customers. Both gift givers and recipients appreciate the convenience that gift certificates offer. Even better, gift certificates can introduce your business to new customers, potentially opening the door to years of repeat business and increased profits.

You can also send gift certificates to your best customers at special times throughout the year, thanking them for their patronage, while encouraging them to buy from you.

Gift certificate

 Tip   Another option is to give out special "get acquainted" gift certificates that introduce your services, and make it easy for your customers to refer their friends to you. For example:

  • Hair stylists can offer free shampoos or hair color analysis.
  • Automotive service stations can offer winter driving check-ups along with oil changes.
  • Consultants can offer free sessions.

Create your gift certificate

Microsoft Publisher makes it easy to design thoughtful gift certificates.

To create a gift certificate

  1. Start Publisher. In the New Publication task pane, under New from a design, click Publications for Print, and then click Gift Certificates and the design you want.

 Note   If you are using Publisher 2002, in the New Publication task pane, click Gift Certificates, and then click the gift certificate design you want.

  1. In the Gift Certificate Options task pane:
    • Click Color Schemes and then choose the color scheme you want.
    • Click Font Schemes and then choose the font scheme you want.
  2. To replace placeholder text with your own text, click the placeholder text, and then type.
    • In most cases, the text resizes automatically to fit within the text box. If you want to control the text size yourself, click the text box. On the Format menu, point to AutoFit Text, and then click Do Not Autofit (if you are using Publisher 2002, click None). Select the text, and then choose a new font size from the Font Size list on the toolbar.
    • If you have already created a personal information set, your business contact information and logo will automatically replace some of the placeholder text.
  3. To replace placeholder pictures (not publication designs) with your own pictures, right-click the placeholder picture, click Change Picture, and then choose the source of the new picture.
    • If you don't see Change Picture when you right-click, click the picture again until you see gray circles surrounding it, and then right-click the picture.

  4. When the gift certificate looks the way you want, save the file.

Gift certificates can be printed on your desktop printer, or taken to a commercial printer for larger quantities.

To print gift certificates

  1. In Publisher, open the gift certificate publication that you want to print.
  2. In the Gift Certificate Options task pane, under Copies per sheet, choose to print One or Multiple copies per sheet. If you select the multiple copies option, by default the gift certificate publication prints three copies per sheet.
  3. On the File menu, click Print.
  4. In the Print dialog box, choose the printer that you want your gift certificates to print to.
  5. Under Print range, click All, and then click OK.

 Tip    If you're taking your gift certificates to a commercial printer for quantity duplication, consider printing them on three-part carbonless copy paper for easy use. When the purchaser fills one out, she is automatically making three copies: the top copy for the recipient, one copy for you, and a final copy for herself.

Create matching envelopes

Matching envelopes are the finishing touch for gift certificate distribution. Gift givers need an envelope to protect the gift certificate and make an elegant presentation to the recipient.

To create an envelope

  1. Start Publisher. In the New Publication task pane, under New from a design, click Publications for Print, and then click Envelopes.

 Note   If you are using Publisher 2002, in the New Publication task pane, click Envelopes.

  1. Click Plain Paper or Special Paper.

 Note   If you choose a special paper envelope, you'll need to load your printer with PaperDirect envelopes. If you want more information about working with special paper envelopes, see Publisher Help.

  1. Click the envelope design you want.
  2. In the task pane:
    • Under Envelope Options, choose whether to include a logo, and then choose an envelope size.
    • Click Color Schemes and then choose the color scheme you want.
    • Click Font Schemes and then choose the font scheme you want.
  3. When the envelope looks the way you want, save the file.

 Tip   Consider adding text announcing your gift certificate to the outside of the envelope, such as "Gift Certificate Inside!" or "Contains Special Money Savings Offer!"

Envelopes can be printed on your desktop printer, or taken to a commercial printer for larger quantities.

To print envelopes

  1. Load your printer with envelopes.
  2. In Publisher, open the envelope publication that you want to print.
  3. On the File menu, click Print.
  4. In the Print dialog box, choose the printer that you want your envelopes to print to.
  5. Under Print range, click All, and then click OK.
