View and update tasks with external dependencies
 

An external dependency (external dependency: A relationship in which the start or finish date of a task depends on a task in another project.) can be anything from a task in another Microsoft Office Project 2003 plan to a deliverable (deliverable: A tangible and measurable result, outcome, or item that must be produced to complete a project or part of a project. Typically, the project team and project stakeholders agree on project deliverables before the project begins.) or other dependency that exists outside of any project plan. ShowQuickly view and update tasks that are dependent on tasks in other Project plans

  1. On the View menu, click Gantt Chart.
  2. If AutoFilters (AutoFilter: A way to filter information in a field [column]. By default, AutoFilters are off, but you can turn them on by clicking AutoFilter. Selecting a filter does not delete any information from your project; it only filters it from your view.) are turned on, click AutoFilter Button image to turn them off.

    When AutoFilters are on, an arrow is displayed to the right of each field heading. Turning off AutoFilters ensures that all tasks with estimated durations are displayed.

  3. On the Tools menu, click Links Between Projects.
  4. View external predecessor or successor tasks.
    • To see a list of tasks that are linked to external predecessor tasks, click the External Predecessors tab.
    • To see a list of tasks that are linked to external successor tasks, click the External Successors tab.
  5. Look in the Differences column for changes to external predecessors that affect the successor task or tasks in your project.

    Differences usually include a new start or finish date for the external predecessor or external successor, typically the result of a changed duration, constraint, tracked progress, and so on. Task name changes are also shown in the Differences column.

  6. Review and accept changes to external links.
    • To selectively accept changes to external predecessors, in the Task column, select each external predecessor or successor with changes that you want to accept, and then click Accept.
    • To accept all changes, click All.

ShowFilter tasks to see just those with external dependencies

  1. On the View menu, click Gantt Chart.

  3. On the Project menu, point to Filtered for, and then click More Filters.
  4. In the More Filters dialog box, click Task.
  5. Click New, and then type a new name for the filter in the Name box; for example, type Tasks with external dependencies.
  6. In the first row of the Field Name column, click Predecessors.
  7. In the first row of the Test column, click contains.
  8. In the first row of the Values column, type a backslash (\).

    The backslash character is used when indicating an external predecessor link.

    Next, you create the test string for successor tasks.

  9. In the second row of the And/Or column, click Or.
  10. In the second row of the Field Name column, click Successors.
  11. In the second row of the Test column, click contains.
  12. In the second row of the Values column, type a backslash (\).
  13. Click OK to close the Filter Definition dialog box, and then click Apply.

    Project filters the task list to show only those tasks with external predecessor or successor tasks.

Notes

ShowInsert and show milestones that represent deliverables and other external dependencies

  1. On the View menu, click Gantt Chart.

  3. Click the row below where you want to insert a milestone.
  4. On the Insert menu, click New Task.
  5. In the Task Name field, enter the milestone name, and then press TAB.
  6. In the Duration field, type 0 days, and then press ENTER.
  7. To see only milestones, click Milestones in the Filter box Button image.
