Enterprise outline codes are custom tags for tasks, projects, or resources that share traits. Outline codes can also be used to define resource skills. Your project management administrator may have made these outline codes required, which allows your organization to use the Resource Substitution Wizard in Microsoft Office Project Professional 2003.
Note Only someone with administrative privileges can add or edit enterprise outline codes. In addition, before you can make changes to enterprise outline codes, you must open the enterprise global template for editing.
Learn how to open the enterprise global template.
- On the Tools menu, point to Customize, and then click Enterprise Fields.
- Click the Custom Outline Codes tab.
- Under Outline Code, click Project, Task, or Resource to create project-level, task-level, or resource-level enterprise outline codes.
Note Click Resource to define resource-level enterprise outline codes used in defining resource skills (skill codes: Skill codes are a type of enterprise outline code that allows you to specify the skills that a resource has.).
- In the Field list, click the enterprise outline code you want to change, such as Enterprise Resource Outline Code1.
- Click Define Code Mask.
- To specify the enterprise outline code for first-level tasks or resources, in the Sequence column, select the character type.
- Click Numbers to show a numerical enterprise outline code for this level.
- Click Uppercase Letters to show uppercase alphabetical enterprise outline codes; for example, A, B, and C for the first three summary tasks in the project.
- Click Lowercase Letters to show lowercase alphabetical enterprise outline codes; for example, a, b, and c for the first three summary tasks in the project.
- Click Characters to show any combination of numbers and uppercase and lowercase letters; for example, Arch1, Const1, and Insp1 for the first three summary tasks in the project. Choosing characters gives you the most flexibility for entering customized enterprise outline codes.
Project displays an asterisk (*) in the enterprise outline code field until you define a string of characters for this level of the enterprise outline code.
- In the Length column, select the number of characters you want to use in the first-level enterprise outline code.
For example, type 3 to make three characters the mandatory number of characters to enter in this level of the enterprise outline code. The total length of an enterprise outline code can be up to 255 characters.
- In the Separator column, type or select the character you want to use for separating enterprise outline code levels.
By default, the separator character is a period.
- You can specify different separator characters for each code level.
- You can type other separator characters, such as an ampersand (&) or a number sign (#).
- You can display code levels without a separator character. In the Separator column, select the character, and then press DELETE.
- Repeat steps 6–8 for each enterprise outline code level you want to specify.
- Click OK.
- To use another code's lookup table so you do not have to create a new value list for the code, select the Share another code's lookup table check box, and then click Choose Outline Code.
- To specify that you can add only the lowest level of the selected enterprise outline code to a record, select the Only allow selection of codes with no subordinate value check box. When this check box is selected, enterprise outline code levels that have subordinate levels cannot be added to a record.
- To specify that the selected enterprise outline code is mandatory, select the Make this a required code check box. When this check box is selected, users cannot check in an enterprise project or resource until they have applied the enterprise outline code to every applicable record.
- To specify whether resource skill substitution acts on the selected enterprise outline code, select the Use the code for matching generic resources check box. This check appears only if you are creating an resource-level enterprise outline code.
- Add each remaining enterprise outline code to its own row.
Note After you create a custom outline code, you can define entries users can choose from when assigning outline codes to tasks or resources by creating a lookup table.
You can view enterprise outline codes by adding an outline code column (field) to the view.
