About using Project Server for team collaboration
 

To collaborate with your team, you can publish assignment (assignment: A specific resource that is assigned to a particular task.) and project information from Microsoft Office Project 2003 to Microsoft Office Project Server 2003. Your team members can then view that information in Microsoft Office Project Web Access 2003, the Web-based user interface they use to view and work with Project Server 2003 (Project Server: A Project companion product that enables collaborative planning and status reporting among workgroup members, project managers, and other stakeholders by working with and exchanging project information on a Web site.) information.

When team members update information about their assignments on Project Server, the project manager can view and respond to this updated information from Project or from Project Web Access 2003 and incorporate it into the project schedule (schedule: The timing and sequence of tasks within a project. A schedule consists mainly of tasks, task dependencies, durations, constraints, and time-oriented project information.) in Project.

ShowReview the team collaboration process

The general process for Project Server team collaboration is as follows:
  • The project manager publishes assignments from Project    The project manager publishes new or changed assignments in Project. The information is sent to Project Server.
  • Team members receive and update assignments in Project Web Access    Using a Web browser (Web browser: A computer program that is capable of locating and displaying information on the World Wide Web.), a team member logs on to Project Server and uses Project Web Access to view the assignments, respond about them, and decline them if necessary. The team member can also open assignments directly in the timesheet, where he or she can enter actuals (actual: Information that shows what has actually occurred. For example, the actual start date for a task is the day that the task actually started.) as work progresses, send updates to the manager, and so on.

    By default, team members only see the tasks assigned to them. If the project manager has sent messages for multiple projects to a team member, Project Server organizes the tasks according to each project's name.

    If team members are connected by an e-mail system, Project can send notification messages to their e-mail inboxes whenever assignment information is published on Project Server. Otherwise, they need to check Project Server regularly for new or changed assignments.

  • The project manager receives assignment updates and incorporates them in Project    The project manager logs on to Project Server and reviews responses and assignment updates sent by team members in Project or in Project Web Access. From these responses, the project manager can update the project schedule.
