Add resources to your project team
If you are using Project Server, you can
add enterprise resources (enterprise resources: Resources that are part of an organization's entire list of resources. Enterprise resources can be shared across projects.) and details such as group, resource type, skills, and maximum units (maximum units: The maximum percentage or number of units that a resource is available to be scheduled for any tasks. The maximum units value indicates the highest capacity at which the resource is available for work; the default value is 100 percent.):
Set up lines of communication
If you are using Project Server, team members and stakeholders can collaborate online with Microsoft Office Project Web Access 2003 (Project Web Access: The Web-based user interface that is used to access information in Project Server.). You may need to enter e-mail addresses or Microsoft Windows®
user accounts for them.
Add resource skills
When you add a custom field for resource skills to the Resource Sheet, you can filter, sort, or group on this field to identify resources by their skills. Depending on the requirements of your organization, you may need to use skill codes (skill codes: Skill codes are a type of enterprise outline code that allows you to specify the skills that a resource has.).
Add a note about a resource
A note is a convenient way to to include background information about a resource.
Set resource costs
After you enter rates and fees for people, equipment, and materials, you can use
Project to create a budget or to track project costs.
Click all of the following that apply:
- Enter pay rates and fees for resources to set up the hourly rates, per-use costs (per-use cost: A set fee for the use of a resource that can be in place of, or in addition to, a variable. For work resources, a per-use cost accrues each time that the resource is used. For material resources, a per-use cost is accrued only once.), and other fees for human and equipment resources. Project can calculate cost totals for resources, assigned tasks, and the entire project. You can enter this information throughout the process of staffing up or negotiating with other managers for shared resources.
- Enter costs for material resources
such as supplies. Project can calculate cost totals for these material resources (material resources: Consumable materials or supplies, such as concrete, wood, or nails.) from the base rates and quantities that you enter.
Set working times for the project and resources If you want to set up the availability (availability: Indicates when and how much of a resource's time can be scheduled for assigned work. Availability is determined by project and resource calendars, resource start and finish dates, or the level at which the resource is available for work.) for all resources in the project as well as individual resources, you need to set working times. You can indicate vacations, standard and nonstandard working schedules, and differing resource units.

- Set working times, days off, and vacations
for individual resources. You can modify individual resource calendars (resource calendar: A calendar that specifies working and nonworking time for an individual resource. A resource calendar differs from a base calendar, which specifies working and nonworking time for more than one resource.) to indicate nonstandard schedules, vacations, and other time off.
- Set the working time for the project calendar to adjust a resource's working time for the overall project. You can change the dates when the resource starts and finishes work. You can also change unit availability (unit availability: Amount of time, expressed as a percentage or a decimal number, that a resource can be scheduled for assigned work. It refers to the availability of a resource; for example, a resource may be available 50%, 100%, or 300% of full time.) at varying periods, for example, four carpenters in the spring, eight in the summer, and two in the fall.
- Specify resource availability to control how much time a work resource (work resource: People and equipment resources that perform work to accomplish a task. Work resources consume time [hours or days] to accomplish tasks.) is available.
- Create an administrative project to track nonworking time if you are using Project Professional and Project Server, and you want to track vacation, sick, or other time not spent on project work.
Change information for enterprise resources If you are using Project Web Access, you may want to make changes to the resource information. For example, you can apply a new calendar, costs, or skills to the resource.
Before you can save changes to certain types of information for enterprise resources, such as cost, skills, or availability, the resource must be checked out (check out: The process of opening an enterprise project or an enterprise resource's record for editing.).
