Microsoft Project 2000: Displaying Costs in Multiple Currencies
 

When you install the Euro Currency Conversion COM add-in in Microsoft Project 2000, you can display costs in more than one currency at the same time. This is especially helpful if you need to report costs in your own currency, as well as the euro currency or any other currency.

Note   This Euro Currency Converter is for US English only. However, the add-in is available in multiple languages. Please refer to the Microsoft Download Center to obtain the add-in for your specific country.

After installation, the Euro Currency Converter toolbar is displayed in Microsoft Project by default. This toolbar is also accessible from the View menu.

With the Euro Currency Converter toolbar buttons you can easily:

  • Convert any European Monetary Union currency to euro currency.
  • Use the Add New Currency Wizard to display different currencies.
  • Import custom currencies from another project.
  • Edit custom currencies.

Convert any European Monetary Union currency to euro currency

If your project's costs are displayed in a European Monetary Union (EMU) currency, they can be converted quickly to euro currency, without affecting your existing cost information. To convert an EMU currency to euro currency:

  1. On the View menu, click Table, and then click Cost.
  2. Select the cost fields that you want to convert.
  3. Click Insert Cost in Euro.
  4. In the Select your project's currency below box, select the EMU currency in which costs are displayed in your project, and then click OK.

    Note   The currency converter uses the Windows currency settings (on the Currency tab in the Regional Options dialog box) to guess the project's currency. If this currency is different from your project's currency, you can simply select the currency you want in the Select your project's currency below box.

The conversion tool inserts a new cost field to the right of the selected field and displays costs in the euro currency. You can change the default name the converter assigns to the new cost field.

Use the Add New Currency Wizard to display different currencies

With the Add New Currency Wizard, you can define new cost fields to display different currencies. The wizard automatically converts your cost values to a new currency without changing your existing cost information.

  1. On the View menu, click Table, and then click Cost.
  2. Click Add New Currency Wizard.
  3. Click Next, and follow the wizard's instructions.

Notes

  • The currency converter uses the Windows currency settings (on the Currency tab in the Regional Options dialog box) to guess the project's currency. If this currency is different from your project's currency, you can simply select the currency you want in the Select your project's currency below box.
  • Because exchange rates are set for EMU currencies, the wizard provides these rates. For all other currencies, you need to enter the current exchange rate.
  • You can add cost fields for tasks or resources. Cost fields for assignments are not included.
  • You can change the name and text field of the new cost field by selecting the I want to customize the way these fields are defined check box. By default, the wizard enters the first available empty custom text field in its Location column, but you may want to designate specific text fields to be used for this purpose. However, if you change this text field to a field already used elsewhere, data in that field will be overwritten.

Import custom currencies from another project

If another project already contains the currency information you need, you may want to use this information in your next project. You can easily import currency information from one project into another as long as they're both open in Microsoft Project.

  1. In Microsoft Project, open both projects.
  2. Activate the project that you want to import custom currencies into.
  3. On the View menu, click Table, and then click Cost.
  4. Click Import Custom Currencies.
  5. In the Select the currently open project you want to import currency information from box, select the project that you want to import the custom currencies from, and then click OK.
  6. To view the imported cost fields, you can insert them into the Cost table. On the Insert menu, click Column, and then select the new cost field you want to add.

Modify or delete custom currencies

Custom currency cost fields can easily be removed from your project. You can also modify any custom currency cost field that contains a non-EMU currency.

  1. Click Edit Custom Currencies.
  2. Select the Task or Resource field option that contains the custom currency field you want to change or delete.
  3. Delete or modify the custom currency field:
    To delete a custom currency field, select it, and then click Delete.
    To modify a custom currency field, select a non-EMU currency field, and then click Modify. Make the necessary modifications, and then click OK.
