Goal: Distribute project information online

After you schedule your project, you may want to distribute the most current project information to team members or other stakeholders (stakeholders: Individuals and organizations that are actively involved in the project or whose interests may be affected by the project.). Microsoft Office Project 2007 provides several ways to distribute project information online.

Tip   This article is part of a series of articles within the Project Map that describe a broad set of project management activities. We call these activities "goals" because they are organized around the project management life cycle: Build a plan, track and manage a project, and close a project.

number 1 Set up project information for viewing with Project Server     By using Microsoft Office Project Server 2007 (Project Server: A Project companion product that enables collaborative planning and status reporting among workgroup members, project managers, and other stakeholders by working with and exchanging project information on a Web site.), you can present the most current information about your project to others. You may need an administrator (administrator: Sets up and manages user accounts, assigns permissions, and helps users with network or server access issues. This person can also manage and customize various elements in Project Professional and in Project Server.) to do this if you don't have the necessary permissions on Project Server 2007.

Number 2 Publish project information to the Web     If you or others who need your project information don't use Project Server 2007 but have access to the Web, you can export project information in XML (XML: Extensible Markup Language [XML] is a format for delivering rich, structured data from an application in a standard, consistent way. XML describes the content of a document, whereas HTML tags describe how the document looks.) format.

Number 3 Provide other online access to project information     If you communicate through a network server or e-mail system, such as Microsoft Exchange Server 2007 or Microsoft Office Outlook 2007, you can easily post, send, or share project information to others from Project 2007.
