Assign a calendar to a resource or task

Calendars are what Microsoft Office Project 2007 uses to schedule your project. Typically, calendars are assigned to resources so that Project can track when resources are available to work on tasks to which they are assigned.

Overview of assigning calendars

By default, tasks (task: An activity that has a beginning and an end. Project plans are made up of tasks.) are scheduled based on the project calendar (project calendar: The base calendar used by a project.). To define unique or specific exceptions for working time and nonworking time (nonworking time: Hours or days designated in a resource or project calendar when Project should not schedule tasks because work is not done. Nonworking time can include lunch breaks, weekends, and holidays, for example.), you can create a task calendar (task calendar: The base calendar that you can apply to individual tasks to control their scheduling, usually independent of the project calendar or any assigned resources' calendars. By default, all tasks use the project calendar.).

Project calculates when a resource and task are scheduled to work by using the calendars in the following order: project calendar, resource calendar, and task calendar. If a task has no resources and no task calendar, it is scheduled according to the project calendar. If a task has resources assigned and no task calendar, it is scheduled according to the resource's resource calendar. If the resource does not have a resource calendar, the project calendar is used.

Assign a calendar to a resource

The Standard calendar is the default base calendar (base calendar: A calendar that can be used as a project and task calendar that specifies default working and nonworking time for a set of resources. Differs from a resource calendar, which specifies working and nonworking time for an individual resource.). The base calendar is applied to all resources as you add them. You can assign a different base calendar to the resource, or you can modify the individual's resource calendar.

For example, if the selected resource works the night shift, click Night Shift to assign this as the resource's default base calendar.

  1. On the View menu, click Resource Sheet.
  2. In the Resource Name field, select the resource to which you want to assign a calendar.
  3. Click Resource Information Button image, click the General tab, and then click Change Working Time.
  4. In the Base calendar list, select the calendar that you want to assign to the resource.

Assign a base calendar to a task

  1. On the View menu, click Gantt Chart.
  2. In the Task Name field, select the task to which you want to assign a calendar.
  3. Click Task Information, and then click the Advanced tab.
  4. In the Calendar list, select the calendar that you want to use for the task.
  5. If you don't want the resource calendar to change the scheduling of the task, select the Scheduling ignores resource calendars check box.

 Note   If you choose to have Project ignore resource calendars, the task is scheduled even if the resource that is assigned to the task has nonworking time set in his or her resource calendar.

Assign a base calendar to a recurring task

  1. On the View menu, click Gantt Chart.
  2. In the Task Name field, select the recurring task (recurring task: A task that occurs repeatedly during the course of a project. For example, you might define the weekly status meeting as a recurring task.) to which you want to assign a calendar.
  3. Click Recurring Task Information Button image.
  4. In the Recurring Task Information dialog box, in the Calendar list, select the calendar that you want to assign to the recurring task.
  5. If you don't want the resource calendar to change the scheduling of the task, select the Scheduling ignores resource calendars check box.

 Note   If you choose to have Project ignore resource calendars, the task is scheduled even if the resource that is assigned to the task has nonworking time set in his or her resource calendar.
