Use Visio drawings in presentations, documents, and publications

A Visio drawing shown as an icon in a Word document

If your drawing is too big or inconvenient to have in the document, you can show it as an icon. The reader clicks the icon to see the full drawing.

There are times when you might not want the drawing to be displayed in all its glory—for example, if the drawing is in a long document that you anticipate people will read in Reading Layout view, or if the drawing is too large to display properly in a Word document. In such cases you'd display the drawing as an icon in the Word document, as shown in the picture on the left. To view the drawing, the reader would just click the icon.

You'll see how to insert the drawing as an icon in the practice session.

This is analogous to inserting the drawing location via a hyperlink, but in this case you can see the drawing icon, which lets the reader know it's a Visio drawing.

Important     If you distribute the document by e-mail, the path to the drawing will be removed and it will appear to the recipient merely as the icon image.

You also have the options to choose the icon image and change the caption.

Note     This process only works for objects (Visio drawings that are linked or embedded); you can't turn a drawing pasted as a picture into an icon.
