About send and receive groups
 

Send and receive groups contain one or more of the e-mail accounts (e-mail account: The server name, user name, password, and e-mail address used by Outlook to connect to an e-mail service. You create the e-mail account in Outlook by using information provided by your administrator or Internet service provider (ISP).) you have set up in Microsoft Outlook. You can specify different behaviors for each group, such as the frequency with which Outlook connects to the server to send and receive messages for it, or how messages are processed when Outlook is online or offline.

Send and receive groups can contain any combination of Microsoft Exchange Server, POP3 (POP3: A common protocol that is used to retrieve e-mail messages from an Internet e-mail server.), IMAP (IMAP (Internet Message Access Protocol): Unlike Internet e-mail protocols such as POP3, IMAP creates folders on a server to store/organize messages for retrieval by other computers. You can read message headers only and select which messages to download.), and HTTP (HTTP (Hypertext Transfer Protocol): Protocol that is used when you access Web pages from the Internet. Outlook uses HTTP as an e-mail protocol.) accounts, along with accounts from any additional supported server types.

With send and receive groups you can:

  • Specify whether an account is included when sending/receiving mail.
  • Specify whether mail should be sent, received, or both, from an account.
  • Specify how often sent/receive commands occur.
  • Specify whether attachments should be downloaded.
  • Specify size limits on messages to be downloaded.
  • Specify folders to include when sending/receiving.
  • Specify downloading only headers for new messages.
  • Specify settings for when Outlook is offline.

Note   The options and rules displayed in the Send/Receive Settings dialog box will differ depending on the type of account you are working with.
