Schedule when a send/receive command runs
 

You can configure Microsoft Office Outlook to check your accounts for new items on a schedule and before you exit the program.

What do you want to do?


Schedule a send/receive command to run on a schedule

  1. On the Tools menu, point to Send/Receive, point to Send/Receive Settings, and then click Define Send/Receive Groups.

    Keyboard shortcut  To open the Send/Receive Groups dialog box, press CTRL+ALT+S.

  2. Select the Send/Receive group that you want to change.
  3. Under Setting for group Send/Receive group name, select the Schedule an automatic send/receive every n minutes check box.
  4. Enter a number between 1 and 1440. The latter will schedule an automatic send/receive once daily.
  5. If you want, you can specify a schedule for send/receive when Outlook is offline. Under When Outlook is Offline, select the Schedule an automatic send/receive every n minutes check box.
  6. Enter a number between 1 and 1440. The latter will schedule an automatic send/receive once daily.

If you have only the default All Accounts Send/Receive group, the schedule will apply to all accounts included in that group. If you want to create a different schedule for different accounts, you should create a separate Send/Receive group for each custom send/receive schedule that you want. Include all accounts that share the same send/receive schedule in one Send/Receive group.

For example, you might have a personal e-mail account that you want to check only once every three hours. You also have another e-mail account that you want to check more frequently. Create a new Send/Receive group for the personal e-mail account, and set its send/receive schedule to 180 minutes.

 Note   Some types of accounts, such as RSS and calendar publishing, will not check for new items each time a send/receive is initiated. These accounts might include information from the servers they use that Outlook should check for updates no more frequently than a specified interval.

Schedule a send/receive command to run when you exit Outlook

  1. On the Tools menu, point to Send/Receive, point to Send/Receive Settings, and then click Define Send/Receive Groups.

  2. Select the Send/Receive group that you want to change.
  3. Under Setting for group Send/Receive group name, select the Perform an automatic send/receive when exiting check box.
