In today's hectic work environment, finding the time to get your work done can be a challenge, and human resources professionals are no exception. Keeping up with the steady stream of e-mail messages, job requests, and resume submissions can take up almost all of your time unless you prioritize your tasks and block out time to get the important ones done first. Microsoft Office Outlook® 2003 makes it easy for you to "make an appointment with yourself" and make the best use of your valuable time.

Screen Action Audio Script

Outlook 2003 is open and the calendar is displayed. The pointer clicks the Mail button in the Navigation Pane and the Inbox opens. The pointer clicks an e-mail message.

As head of our human resources department, I have a full schedule. After reviewing my calendar, I check my e-mail and I notice a high priority message from my manager.

The e-mail message opens, revealing its contents. The pointer clicks the Close button and the e-mail message closes.

He has approved the idea of creating an internal training Web site, and he wants me to come up with some ideas for it. Thankfully, Outlook 2003 lets me quickly schedule time in my calendar by using just a few mouse clicks.

The pointer drags the e-mail message from the Inbox onto the Tasks button in the Navigation Pane, and a Task window opens. The pointer clicks Save and Close. The Task window closes and the scene returns to the Inbox.

First, I use the e-mail message to create a task. I just drag the message to the Task button, and it opens a new task with a lot of the information already filled in. That's it, I created a task! One more step and I'm finished.

The pointer clicks the Calendar button in the Navigation Pane and the calendar opens. The pointer clicks the Work Week button on the toolbar and then clicks TaskPad on the View menu. The TaskPad opens on the right side of the calendar.

I have to block out the time in my busy schedule. I want to see my entire work week…

…next to my calendar for easy access.

The pointer selects a block of time on the calendar. The pointer drags the task from the TaskPad onto the calendar, and the Appointment window opens. The pointer clicks the Label drop-down list, selects a label color, and then clicks Save and Close. The Appointment window closes and the appointment is now displayed on the calendar in a different color from the other appointments.

I see a block of time open, and I select it. Then I drag the task to anywhere on the calendar. The date and time I selected are filled in automatically! If I choose a label, the corresponding color appears in the calendar for that task. That's it. Save and close.

The pointer clicks the appointment in the calendar, and the Appointment window opens. The pointer clicks Save and Close. The Appointment window closes and the calendar is displayed.

The nice thing about this is that I can always open the task from my calendar and add or change the details as needed. Simple!
