Synchronize your Pocket PC with Outlook

You can synchronize e-mail messages, calendar items, contacts, notes, and tasks between Outlook and your Pocket PC by using Microsoft ActiveSync®. With ActiveSync, you can create a partnership between your Pocket PC and desktop computer by using a cable, cradle, or infrared. After you create a partnership, you can synchronize your data by using a modem or network (Ethernet) card if your Pocket PC supports it. You can also use your existing computer to connect to other resources through ActiveSync. You can synchronize information between your mobile device and a server if your company is running Microsoft Exchange Server with Exchange ActiveSync.

Before you start, you must have the following:

  • Outlook installed.
  • ActiveSync 3.7.1 installed.
  • Your synchronization cradle or cable available.

ShowCreate a new partnership

Use the following steps if you have a new Pocket PC or want to delete your existing partnership and create a new one.

Note  To synchronize with your Exchange Server e-mail account, you must have access to Exchange Server with Exchange ActiveSync or Microsoft Mobile Information Server.

  1. Start ActiveSync on your desktop computer.
  2. In the wizard, click Standard partnership, and then click Next.
  3. Click Synchronize with Microsoft Exchange Server and/or this desktop computer, and then click Next.
  4. Type the following information, and then click Next:
    • Server name
    • User name
    • Password
    • Domain
  5. Select the types of information that you want to synchronize, and then click Next.

    Note  To change the settings for a type of information, click the type of information, and then click Settings.

  6. Decide if you want to delete and replace the items on your Pocket PC or if you want to keep the items on your device (you might get duplicates), and then click OK.
  7. Select any other types of information that you want to synchronize, and then click Next.
  8. Click Finish.

    Notes

    • If prompted on your Pocket PC, tap your Exchange Server or domain password.

      Note  You have the option to have Outlook remember your password by typing it in the Password box and selecting the Remember password check box. Having Outlook remember your password means that you won't have to type your password each time that you access the account; however, it also means that the account is vulnerable to anyone who has access to your computer. Use strong passwords that combine upper- and lowercase letters, numbers, and symbols. Weak passwords don't mix these elements. Strong password: Y6dh!et5. Weak password: House27. Use a strong password that you can remember so that you don't have to write it down.

    • Do not disconnect your Pocket PC until it is synchronized.
    • If you have problems synchronizing your Outlook items, undock your Pocket PC from your cradle or cable. Open ActiveSync on your Pocket PC. Tap Tools, and then tap Options. On the Server tab, tap Advanced, and then change Logging to Brief.

ShowUse an existing partnership

If you already have a partnership set up, you can still synchronize your Inbox, Calendar, and Contacts from your Exchange Server e-mail account with Outlook, by doing the following:
  1. On your desktop computer, open ActiveSync.
  2. In ActiveSync, click Options.
  3. Under Server, select the Enable synchronization with a server check box.
  4. Click Configure.
  5. Select the types of information that you want to synchronize.

    Note  To change the settings for the type of information, click the type of information, and then click Settings.

  6. To change your server connection information, under Server Connection, click Connection.
  7. Click OK three times.

ShowHTTP e-mail account

You cannot synchronize your HTTP e-mail account messages by using ActiveSync. However, you can browse to your MSN Hotmail® or other HTTP e-mail accounts by using Microsoft Pocket Internet Explorer on your Pocket PC.

ShowPOP3 e-mail account

In the New Partnership Wizard, choose to synchronize with the Inbox, which is part of Microsoft Pocket Outlook.

  1. On your desktop computer, open ActiveSync.
  2. In ActiveSync, click Options.
  3. Under Server, select the Enable synchronization with a server check box.
  4. Click Configure.
  5. Select the types of information that you want to synchronize.

    Note  To change the settings for the type of information, click the type of information, and then click Settings.

  6. To change your server connection information, under Server Connection, click Connection.
  7. Click OK three times.
