Customize your Outlook Inbox

When you need to look for important messages that you've received, set up rules to file incoming e-mail, or switch between your Inbox and another mailbox folder, you can do so more easily if you use the Advanced toolbar in Outlook 2002. It's a quick way to keep several time-saving organizational tools at your fingertips.

To view the Advanced toolbar, on the View menu, point to Toolbars, and then click Advanced. On the toolbar, you can choose from these tasks:

ShowChange the current view

The Current View list is a quicker way to switch among commonly used views. In this list, you'll find all the views of your Inbox that are available from the Current View command (View menu). Button image

ShowGroup related e-mail

Using the Group by Box, you can group messages in the Inbox by any of the column header fields. For example, you can group messages by sender to search for that special piece of e-mail from your boss. Button image

ShowTip

In addition to grouping by fields, you can also sort messages in order by any column header just by clicking the column header. For example, you can sort messages by date by clicking the Received column header

ShowChange displayed fields

With Field Chooser, you can add or remove the fields that are displayed as column headers in your Inbox. For example, you can add a column header for size, or one that lists everyone who's on the Cc line of the message. To add a column header, drag a field from the Field Chooser list to the top of the Inbox and drop it where you want the column header to be added. Button image

ShowAutomatically organize e-mail

When you click the Rules Wizard button on the Advanced toolbar, you enter the Rules Wizard, in which you can create rules that help to organize your e-mail. With rules, you can automatically file incoming messages in your various mailbox folders before they even appear in your Inbox. You can also use rules to move messages that are already in your Inbox to other folders. And, best of all, you can set up rules to delete unwanted messages as you receive them. Button image

ShowSwitch quickly between Inbox and other folders

The Back and Forward buttons work like the same buttons on a Web browser. They're helpful when you're switching frequently between Inbox and one or two other of your mailbox folders. If you have a lot of folders, the Back and Forward buttons will serve your purpose faster than scrolling the Folder List to click one of the folders each time you want to switch.Button imageButton image
