See others' free/busy times

You can see the times when people are free or busy by including these individuals in a meeting request, adding them to a group schedule, or viewing the Internet or intranet location where the times are published. Free/busy times are indicated in a schedule grid by multiple colors and patterns.

ShowIn meeting requests

  1. In a new or open meeting request, click the Scheduling tab.
  2. Type the attendee or resource name under All Attendees, or click Add Others, and then click Add from Address Book or Add Public Folder. Select the names or public folder, and then click OK.

ShowIn group schedules

You can see another person's free/busy times by looking on a group schedule that includes them, or by including them in a group schedule that you create. Do one of the following:

ShowOpen a group schedule

  1. In Calendar, click Actions, then click View Group Schedules.
  2. Select the group schedule you want to view, and then click Open.

 Note   To refresh the free/busy data on the calendar grid, click Options, and then click Refresh Free/Busy.

ShowCreate a group schedule

  1. In Calendar, click Actions, then click View Group Schedules.
  2. Click New.
  3. Type a name for the new group schedule, and then click OK.
  4. Click Add Others, and then click Add from Address Book or Add Public Folder.
  5. Select the names or public folder, and then click OK.

 Note   To refresh the free/busy data on the calendar grid, click Options, and then click Refresh Free/Busy.

ShowOn another Internet or intranet location

  • In a Web browser, go to the address where the individual published his or her free/busy times to.
