License requirements for Personal Archive and retention policies

Personal Archive or retention policies requires a Microsoft Exchange Online account or Microsoft Exchange Server account together with Microsoft Exchange Server Enterprise Client Access License (CAL) and specific Microsoft Outlook licenses.

1Archive policies don’t appear in the Outlook 2007 user interface. Archive policies can be deployed or changed by an Exchange Server administrator, but can’t be changed by any user in Outlook 2007. To see or change policies, an Outlook 2007 user must use Outlook Web App (OWA), if it’s enabled.

Without policies, the following is possible:

  • Drag and drop messages to and from the Personal Archive
  • Copy and paste messages to and from the Personal Archive
  • Use the move menu to move or copy messages to the Personal Archive
  • Create client-side rules to move or copy messages to the Personal Archive

Users can search the Personal Archive, but only in the selected folder. An Instant Search in a folder in the primary Exchange Server account — even when All Mail Items is specified — doesn’t include items in the Personal Archive.

2Microsoft Office Standard 2010 users can access a Personal Archive with Outlook Web App.
