Find flagged messages

Flagging messages to keep track of them is only part of the task. You need to be able to quickly find the messages so that you can act on them. Microsoft Office Outlook 2007 provides the For Follow Up Search Folder (Search Folders: Virtual folders that contain views of all e-mail items matching specific search criteria. The items remain stored in one or more Outlook folders.) in the Navigation Pane (Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.), where you can find all your flagged messages. You can also sort your Inbox or other message list (message list: The middle part of the main Outlook window that displays the contents of the selected folder.) and scan them for flagged messages, or you can search for the responses to all the flagged messages that you have sent.

Find all flagged messages

    In the For Follow Up Search Folder

All the messages that you have flagged appear automatically in the For Follow Up Search Folder.

  • To view messages that you have flagged, in Mail, in the Navigation Pane, under Favorite Folders, double-click the For Follow Up Search Folder.

 Note   The For Follow Up Search Folder displays the total message count, not the number of unread messages. Only messages that you flagged appear in this Search Folder.

You can quickly sort your Inbox to list all flagged items together.

Find flagged messages that you sent to other people

You can quickly sort your Sent Items folder to list all flagged items together. This feature requires that you save your sent e-mail messages. By default, all sent messages are saved in the Sent Items folder.

Find the responses to flagged messages that you sent

This feature requires that you save your sent e-mail messages. By default, sent messages are saved in the Sent Items folder. If your default message delivery location — the place where your incoming messages are delivered — is a Microsoft Exchange account, make sure you do not move, either manually or through Auto Archive, your sent items to a Personal Folders file (.pst) (Personal Folders file (.pst): Data file that stores your messages and other items on your computer. You can assign a .pst file to be the default delivery location for e-mail messages. You can use a .pst to organize and back up items for safekeeping.) on your computer. The feature does not work if your messages are delivered to a .pst file.

  2. Click the InfoBar, and then click Find related messages.

The Advanced Find dialog box opens and begins searching for related e-mail messages. You can refine this search by entering additional search criteria, such as subject and sender.
