Create or delete a phone log in Business Contact Manager

You can log phone calls in Microsoft Office Outlook 2003 with Business Contact Manager to keep records of your phone interactions with accounts (Account: A business or organization with which you do business. If a service is being provided, such as dental or medical, an Account can also be a customer.) or business contacts (Business Contact: A person with whom you do business at a company or organization.). When you launch the phone call form (form: A way to collect and distribute information for items in Business Contact Manager for Outlook.) from an Account (Account record: The location for storing Account information, including information that is entered on the Account form, linked records, and communication history items.) or Business Contact record (Business Contact record: The location for storing Business Contact information, including information that is entered on the Business Contact form, linked records, and communication history items.) or the Standard toolbar, you can record the length of a call and type notes about the conversation. Phone logs that are created from records are automatically linked to those records. Phone logs created from the Standard toolbar need to be manually linked to a record. After you've saved the phone call form, your information is saved as an item (item: An item is a product or service that your company buys or sells.) in the record History (history item: An item such as an appointment, business note, e-mail message, file, or task that is linked to an Account, Business Contact, Opportunity, or Business Project.) and in the Business History folder (Business History folder: A folder that contains all history items and the records they are linked to.).

You can create a phone log by doing one of the following:

  1. On the Business Tools menu (Business Tools menu: The menu on the Outlook menu bar that provides access to Business Contact Manager for Outlook functions.), click Accounts, Business Contacts, or Opportunities.
  2. Double-click the record that you want to create a phone log for.
  3. In the Account History Items, Business Contact History Items, or Opportunity History Items section of the record, click New, and then select Phone Log.
  4. Enter the applicable information on the Business Phone Log form.

To get assistance entering information, click Business Contact Manager Help on the Help menu on the form.

  1. Click Save and Close.

ShowCreate a phone log from the Standard toolbar

  1. On the Standard toolbar, click the arrow next to New New button, and then click Phone Log.
  2. Enter the applicable information on the Business Phone Log form.

To get assistance entering information, click Business Contact Manager Help on the Help menu on the form.

  1. On the Business Contact Manager toolbar, click Link to Record.
  2. In the Link to Record dialog box, select the type of record that you want to link the phone log to.
  3. From the list of Available Records, select the record and click the Link Link >   button.
  4. Click OK.

ShowDelete a phone log

  1. On the Business Tools menu (Business Tools menu: The menu on the Outlook menu bar that provides access to Business Contact Manager for Outlook functions.), click Accounts, Business Contacts, or Opportunities.
  2. Double-click the record that contains the phone log you want to delete.
  3. In the record's history items section, right-click the phone log that you want to delete, and then click Delete on the shortcut menu.
