Print notes

You can print a page of notes by clicking Print Button image on the Standard toolbar (toolbar: A bar with buttons and options that you use to carry out commands. To display a toolbar, press ALT and then SHIFT+F10.).

The following are some additional ways to preview or print notes.

Display each page as it will look when printed

ShowPreview and change print settings for a page

  1. Click Print Preview Button image on the Standard toolbar.
  2. In the Print Preview and Settings dialog box, do any of the following:
    • To print only the current page, the whole group to which the page belongs, or the whole section, in the Print range box under Print Settings, click the appropriate option.
    • If you have a lot of content in the page header and you want it to be on a separate page, select the Print page header on a separate page check box.
    • To specify the paper size, select it in the Paper size box.
    • To shrink the content to make it fit the width of the specified paper size, select the Scale content to paper width check box.
    • To specify whether you want to page to be longer than it is wide, or wider than it is long, click either Portrait or Landscape under Orientation.
    • To print text at the bottom of each page, in the Footer box, select the appropriate option. Click None if you don't want to print a footer.
    • To use page numbering from your notebook, clear the Start page numbering at 1 check box.

ShowTip

To set additional options for the appearance and dimensions of your printed notebook pages, click Page Setup on the File menu.

Print all or part of your notes

ShowPrint single pages or a range of pages

  1. On the File menu, click Print.
  2. Under Page Range in the Print dialog box, do one of the following:
    • To print all pages, click All.
    • To print single pages, click Pages, and then in the Pages box, type noncontiguous page numbers with commas between them. For example, to print pages 2, 4, and 8, type 2,4,8.
    • To print a range of pages, click Pages, and then in the Pages box, type a range of page numbers with a hyphen between the starting and ending numbers in the range. For example, to print pages 5, 6, 7, and 8, type 5-8.

ShowTip

You can combine instructions for printing noncontiguous pages and ranges of pages. For example, to print pages 2, 4, 5, 6, and 8, type 2,4-6,8 in the Pages box.

ShowPrint a selection of pages

  1. Select the pages that you want to print by doing one of the following:
    • To select contiguous pages (for example, pages 5, 6, 7, and 8), click the page tab of the starting page, and then hold down the SHIFT key and click the page tab of the ending page.
    • To select noncontiguous pages (for example, 2, 4, 8, and 10), hold down the CTRL key and click the tab of each page that you want to print.
  2. On the File menu, click Print.
  3. In the Print dialog box, verify that Selection is selected under Page Range, and then click Print.

Print notes in a different format

ShowPrint to a file

Printing notes to a file instead of a printer lets you save the information in a format that a specific printer can use. For example, if you want to have your notes printed by a commercial printing service that uses higher-resolution printers, you can print your notes to a file, and then take that file to the printing service.

 Note   When you print to a file, you must first determine what type of printer — for example, a PostScript printer — will ultimately print the file.

  1. On the File menu, click Print.
  2. In the Select Printer box in the Print dialog box, click the printer that you will use.
  3. Select the Print to file check box, and then click Print.
  4. In the Print to File dialog box, type a file name.

Print multiple copies or more than one section

ShowPrint more than one copy at a time

  1. On the File menu, click Print.
  2. In the Number of copies box in the Print dialog box, enter the number of copies that you want to print.
  3. To print a complete copy of your notes before the first page of the next copy is printed, select the Collate check box. If you prefer to print all copies of the first page, and then print all copies of subsequent pages, clear this check box.
  4. Click Print.

ShowPrint several sections at once

  1. On the File menu, point to Open, and then click Section.
  2. In the File Open dialog box, navigate to the folder that contains the sections you want to print, and then select those files.
  3. Click Tools, and then click Print.
