Microsoft Office OneNote 2003 enables you to record audio and video as you take notes. To record video, you can use a camera, such as a webcam. To record audio, you can use either the built-in microphone in your computer or an external microphone connected to your computer.
Tablet PCs and many models of laptop computers have a built-in microphone that allows you to record audio using no additional hardware. If your computer does not have a built-in microphone, you can use any of a number of commercially available external microphones, either digital or analog, that plug into the microphone input jack on your computer.
Audio and video recordings can be useful note-taking tools in a variety of situations, including meetings and lectures. For example, you can use an audio recording as a way to verify notes that you take in class. You can use a video recording to capture an important demonstration. If you do a lot of research, audio and video recordings also work well in conjunction with side notes. When you drag research information from the Web into a side note, you can annotate each item with an audio-recorded note about the item and its significance.
Microsoft strongly recommends that OneNote users intending to record a conversation effectively announce to all other parties in the conversation that such conversation is about to be recorded.
Find recorded notes
Because OneNote audio and video recordings are directly linked to the typed or written notes you took when you recorded them, you can quickly search your notes for the text that is linked to the recording you're looking for. For example, if you know the subject of the notes you typed while recording the audio you want to locate, you can search for a keyword related to that subject.
Each audio or video note you record is saved as a Microsoft Windows Media Player file in your My Notebook folder. Audio notes are saved as .wma files and video notes are saved as .wmv files. Each file is named according to the title of the section and page that are open when you make the recording. If you make more than one recording on any given page, the name of the file also includes a number that indicates the sequence in which the recordings are made. For example, if you make three audio recordings on a page titled Project Overview in the Planning section, the recording file names are Planning: Project Overview.wma, Planning: Project Overview – 2.wma, and Planning: Project Overview – 3.wma.
While you record audio or video, you can type or write information about what you are recording so that you can easily refer to the recording later. This text is linked to the audio or video recording so that when you play back the recording, OneNote shows you the accompanying notes that you took. For example, if you are in a meeting and the speaker is explaining a complex process, you can record the presentation, and then in your notes type "process" to indicate the topic of the recording.
You can also add note flags to audio or video recordings. These are especially useful when your audio or video recording includes a task you don't want to forget about, such as asking your professor about the extra-credit assignment. You add note flags to the text of your linked audio notes just as you would to any other type of note. When you run a note-flag summary, your flagged audio and video recordings are included in the results.
When you record audio or video, descriptive text is added to the page to indicate the type of recording and when the recording started—for example, "Audio recording started: 11:00 AM Tuesday, April 06, 2004." When you rest the pointer over the descriptive text, an icon appears. You can click the icon to play back the recording.
Audio and video files are named to include the titles of the section and page that were open when you started the recording, and a number indicating the sequence in which the recording was made. For example, if you start an audio recording while you are on the Physics page in the Lectures section, the audio recording file name is Lectures: Physics - number.wma. A video recording on the same page would be named Lectures: Physics - number.wmv.
Remove recorded notes
You can delete all the audio and video recordings on a page. If you delete a recording by clicking Delete Recording on the Audio and Video Recording toolbar, all recordings on the active page and its subpages are deleted. However, the descriptive text that identifies the location of the audio and video recordings is not deleted.
Note If OneNote is deployed in a large-scale setting, administrators can make the audio or video recording features unavailable if the company does not want to use them.
