What is Office 365 Small Business?

In Office 365 Small Business, you get one place to manage your email, calendars, contacts, documents, online meetings, public website, and more. Because it runs in the cloud, your information is secure, backed up, and available from the office, from your home, or on the road.

Quick steps

To use Office 365 Small Business, you first need to sign up for a subscription. Then, with your user account, sign into the service using your web browser and try out Office 365 features like email, document sharing, online meetings, and more.

  1. Sign in to Office 365 Small Business at portal.microsoftonline.com using your web browser.
  2. On the Welcome page, use the Getting Started pane to install Office, customize email, work on documents, or design your public website as shown here.

  3. At the bottom of the page, start managing your organization:
  • Service settings to manage calendars, sites, meetings, and more
  • Users & groups to add and edit users, reset passwords, and more
  • Licenses to manage and purchase more Office 365 licenses
  • Domains to manage domains for your email and website
  • Service status to track service health and maintenance
  • Support to get Office 365 help and support
  • Website to manage your public-facing website
  • Message center to learn about upcoming service announcements
  1. Along the top of the page, use the links to check email, view your calendar, work with contacts, see what others are doing, and work with personal documents.
  2. Open Sites and use your team site to work on documents and projects with others or start designing your public website.
  3. Tap or click your name in the upper right to change your profile and account information.
  4. Choose Settings to change your language or password, install software, and more.
  5. Choose Admin to return to the Welcome page to continue managing your organization.

What is the cloud?

The “cloud" is a friendly way of describing web-based computing services that are hosted outside of your organization. When you use cloud-based services, your IT infrastructure resides off your property (off-premises), and is maintained by a third party, instead of residing on a server at your home or business (on-premises) that you maintain. With Office 365, for example, your email, website, document storage, and web conferencing are located and managed remotely on Microsoft’s servers.

How is Office 365 different from Microsoft Office?

Microsoft Office is a suite of productivity applications, including Word, Excel, PowerPoint, and Outlook, and you install it on your your PC or Mac. You can open this software anytime, whether you’re connected to the Internet or not. Office 365 is a subscription that includes cloud-based services like email, website, web conferencing, and online storage with Office Online. Most Office 365 plans also include the Microsoft Office suite so that you can continue using Office on your PC or Mac, or you can work with these documents in the cloud.

How many users can I have in Office 365?

You can be anything from a one-person business to a company with tens of thousands of users. Office 365 small business plans are best for companies with up to 10 employees, and can accommodate up to 25 users. Office 365 Midsize Business is best for companies with 11 to 250 employees, and can accommodate up to 300 users. Office 365 enterprise plans fit organizations ranging in size from a single employee to 50,000-plus users.

What mobile apps are available?

Office for iPad can be used to view, create and edit documents with touch-friendly Word, Excel, and PowerPoint apps. Viewing documents is free. Editing and creating documents requires an eligible Office 365 subscription.

Office Mobile is preinstalled on Windows Phone 8 and is available for select models of iPhone and Android phones. Office Mobile offers Office content viewing and on-the-go content editing capabilities. Office Mobile for iPhone and Android phones can be used for free for non-commercial use.

Outlook Mobile is included with Windows Phone 8 that you can use to access Outlook.com, Office 365, or Exchange email.

OneNote mobile app is available on Windows Phone 8, iPhone, iPad, and Android phones.

OWA app is available to sort, scan, and respond to email, and stay on top of your schedule. This app is available on iPhone and iPad.

Lync Mobile can be used to stay connected while on your mobile device. The app is available on Windows Phone 8, iPhone, iPad, and Android phones.

SharePoint Newsfeed app can be used to access your newsfeed from your mobile device on Windows Phone 8, iPhone, and iPad.
