Usage analytics data for shared queries is tracked in Power BI for Office 365, and can be viewed in the Manage Data portal. Power Query provides a link for each of your shared queries so you can easily view the usage analytics for the query without first navigating to the portal.
The usage analytics data displays how many times your shared query was searched for and used by other users in your organization, and can provide you with some useful information prior to managing (updating or deleting) your shared query. For example, if the query search result numbers are high but the usage numbers (clicks) are low, you might want to discuss with your information workers on what is lacking in your shared query, and then update the underlying data accordingly.
To view the usage analytics for your shared query from Power Query:
- Sign in to Power BI from Power Query, if you are not already signed in. In Excel, on the POWER QUERY tab, click Sign In. In the Sign In dialog box, click Sign In, and then enter your organizational account information that was used for signing up for Power BI.
Important Signing in to Power BI using your organizational account enables you to view the queries that are shared by you within the organization, and also to find and use the queries that have been shared by other users within the organization. You cannot search for queries that are shared within the organization in Power Query if you are not signed in to Power BI.
- On the POWER QUERY tab, click Shared.
- The Shared pane displays all the queries currently shared by you. The queries are sorted by the date and time when they were shared or last modified with the most recent one at the top of the list.
Point your mouse or click on a shared query name in the Shared pane for which you want to view the usage analytics. A data source preview fly out screen displays for the shared query. Click ellipsis (…) next to EDIT SETTINGS, and then click View Statistics in the menu that appears.
