Replace Your Existing Shared Queries

You can replace or overwrite your existing shared queries in Power Query if you have a newer version of the query that points to enhanced information. You can only replace an existing shared query that is shared by you; you cannot replace existing queries that have been shared by other users.

To replace you existing shared query:

  1. Sign in to Power BI from Power Query, if you are not already signed in. In Excel, on the POWER QUERY tab, click Sign In. In the Sign In dialog box, click Sign In, and then enter your organizational account information that was used for signing up for Power BI.

IMPORTANT: Signing in to Power BI using your organizational account enables you to view the queries that you shared within the organization. You cannot view/access your shared queries in Power Query if you are not signed in to Power BI.

  1. Import the newer version of data to the Excel sheet either by directly connecting to the appropriate data sources using Power Query or by importing the data from a newer version of the shared query. For more information, see Connect to Internal and External Data Sources and Find and Use Shared Queries.
  2. On the QUERY tab, click the down arrow on the Share icon, and then click Replace from the drop-down list.

  1. The Replace Existing Query dialog box displays all your shared queries in the drop-down list at the top with the date and timestamp when the query was last modified. From the list, select a shared query that you want to replace with the latest/enhanced information. Based on the shared query that you select, the existing metadata values of the selected query, except for the Data Sources field, get populated in various fields (sharing settings, documentation URL, and previews) in the dialog box. Update the metadata in the fields as required, and then click Replace.

 Note    If you haven’t shared any queries in Power Query, a message appears in the Replace Existing Query dialog box to inform you about the same. In this case, you can share the data as a new query. For more information, see Share Queries.

The selected shared query is overwritten with the newer version of the data source and updated metadata values specified in the Replace Existing Query dialog box.

If the shared query you are trying to replace is:

  • Updated after you have opened it for replacing, a message appears stating that the query has been modified at another location after it was opened for editing, and that the current selected query may not reflect the most recent changes. You are prompted to update, share as a new query, or cancel the operation.
  • Deleted after you have opened it for replacing, a message appears stating the same, and prompts you to either share as a new query or cancel the operation.
