Collection and use of information about your device
SharePoint Newsfeed includes several features that use the Internet to give you additional information or the ability to share data with others. These features are available any time you have an active connection to the Internet. Each of these features is explained in more detail below.
A cookie is a small text file placed on your device by an Internet server. Cookies contain information that can later be read by an Internet server in the domain that issued the cookie to you.
One of the main purposes of cookies is to save you time. For example, SharePoint Newsfeed uses an authentication cookie that allows you to remain logged in without having to enter your credentials each time you open SharePoint Newsfeed.
Whenever SharePoint Newsfeed contacts a SharePoint server, it can potentially save or access cookies.
SharePoint Newsfeed requires you to sign in by submitting over the Internet the username and password you use to access a SharePoint site. When you do so, an authentication cookie is stored on your device in order to permit you to access the SharePoint site without having to re‑enter your username and password. If you select “remember me” when you sign in, the authentication cookie will be stored on your device for a length of time, as determined by your SharePoint administrator. If you do not select “remember me,” the authentication cookie will still remain on your device for a short period of time that is determined by your SharePoint administrator. After the authentication cookie expires, you will be prompted to enter your username and password the next time you open SharePoint Newsfeed.
Choice/control: If you wish to sign out of SharePoint Newsfeed without waiting for the authentication cookie to expire, you must uninstall the application. Uninstalling the application will also delete from your device all cached content, cookies, and the SharePoint server URL to which the application was connected.
To uninstall the application:
- Go to the app list.
- Tap and hold the SharePoint Newsfeed app.
- Tap uninstall.
- When asked for confirmation, tap Yes.
Certain information is stored in the local memory on your mobile device (the “cache”) when you use SharePoint Newsfeed. The information that is stored in the cache includes newsfeed content, URLs of SharePoint sites, settings for SharePoint Newsfeed (for example, user account name, whether diagnostic logging is enabled), and other local device settings such as the last time your cache was reset, the last time your newsfeed was refreshed, the status of device memory, and when the last time the SharePoint Newsfeed application crashed.
Choice/Control: To delete information that has been cached on your device, use the steps in the next section, Deleting cached information.
Deleting cached information
What This Feature Does: This feature enables you to delete information that has been cached locally on your device, such as newsfeed content and the SharePoint server URL to which SharePoint Newsfeed is connected. This feature will not delete the authentication cookie that is stored on your device when you submit a username and password to access a SharePoint website. For information on how to delete the authentication cookie, please see the Authentication section.
Choice/Control: To delete information that has been cached on your device, use the following steps:
- In SharePoint Newsfeed for Windows Phone, tap Settings.
- Navigate to about page.
- Tap reset from the list of options.
Accessing SharePoint sites
When you enter a username and password to access a SharePoint site, an authentication cookie is stored on your device in order to permit you to access the SharePoint site again without having to re-enter your username and password. See the Authentication section for information on how long the authentication cookie is stored and how to delete the authentication cookie.
What This Feature Does: Diagnostic logging collects log information about your usage of SharePoint Newsfeed on your device that you may choose to use for troubleshooting issues you might experience with the SharePoint Newsfeed application.
Information Collected, Processed, or Transmitted: This application performs two types of logging; “minimal” and “verbose.” Minimal logging stores information on your device about instances in which the application experiences an exception, or crashes, and is always enabled and cannot be turned off. Minimal logging data contains information on unexpected errors in the application, but does not include personal information.
Verbose logging is defaulted to “off” and can be enabled by the user. When verbose logging is enabled the following information is stored on your device: your email address or username, the URL to your profile picture, and information about what features you use, what functions you execute, and what (if any) errors occur. The contents of your Newsfeed conversations are not stored.
No information from either type of logging is automatically sent to Microsoft or anyone else. You can choose to manually email the information from either or both logs to your enterprise administrator or help desk for troubleshooting purposes, as explained below.
Use of Information: You can use diagnostic logging to troubleshoot issues you might experience while using SharePoint Newsfeed for Windows Phone.
Choice/Control: Minimal diagnostic logging is always enabled and cannot be turned off. Verbose diagnostic logging is turned off by default. You can enable or disable verbose logging by using the following steps:
- In SharePoint Newsfeed for Windows Phone, tap Settings.
- Tap Enable diagnostic logging from the list of options.
Sharing Diagnostic Logs: You can email the information logged by diagnostic logging to your Admin, a helpdesk, or someone else of your choosing for troubleshooting purposes. To do so, follow these steps:
- In SharePoint Newsfeed, tap Settings.
- Navigate to the about page.
- Tap send diagnostic logs.
An email message will open that is pre-populated with the text version of the info that has been logged by the Diagnostic Logging feature. You will be able to review the content of the entire email before sending it.
Enter the email address to which you want to send the logs and send the email.
Deleting Diagnostic Logs: You can delete the information on your device which is logged by diagnostic logging by following the steps in the Deleting cached information section.
What This Feature Does: Notifications is the mechanism that notifies you when there has been a new post or reply in the newsfeed since the last time you visited the newsfeed, and notifies you of the number of new @mentions since you last visited the @mentions page from the SharePoint Newsfeed application. This mechanism always operates in the background, but you will only see updates generated by this feature when you pin the SharePoint Newsfeed application to the Start screen on your mobile device.
You can disable notifications by following the steps below.
Information Collected, Processed, or Transmitted: No information is collected, processed, or transmitted by the mobile device. The notifications mechanism simply checks your SharePoint server to see whether any updates have occurred, and then updates the UI on your mobile device if changes have occurred, if the SharePoint Newsfeed application is pinned to the Start screen on your mobile device.
Use of Information: The notifications mechanism only uses information from your SharePoint server to notify you when a new post or reply has been made in the newsfeed or when new @mentions have occurred.
Choice/Control: Notifications are defaulted to on. You can turn off notifications by using the following steps:
- Go to your Windows Phone settings; tap applications, and then background tasks.
- Choose the SharePoint Newsfeed application from the list, and disable the background tasks.
