Delivery reports

Use delivery reports to find delivery information about messages you’ve sent or received. If you sent a message to five people, for example, you can check the status of the delivery of that message to each person.

To get to the Delivery reports tab from the main Outlook Web App page, go to the upper corner and choose Settings settings > Options > Organize email > Delivery reports.

Searching for message delivery information

You can search for reports on messages you've sent by using the Search for messages I've sent to box. Or, you can use the Search for messages that were sent to me from box to search for delivery information about messages someone has sent to you.

Section Description

Search for messages I’ve sent to

Leave this box empty to view reports about all messages you sent. Click Select users to search for recipients in the address list. Double-click a recipient to add them to the To box. When you're done adding recipients for the search, click checkmark Ok to save your selections, or click discard Cancel to discard them.

Search for messages that were sent to me from

You can enter only one address for this option. Click Select users to search for a sender in the address list. Double-click a sender to add them to the From box. When you've added the sender you want to search for messages from, click checkmark Ok to save your selections, or click discard Cancel to discard them.

Search for these words in the subject line

Use this box to narrow the results. Type all or part of the subject line of the message you want delivery information for.

After you’ve entered the search criteria, click Search to start the search, or Clear to start over with a new search.

Search results

The search returns a list of delivery reports for the messages that match your search criteria. Double-click a message to see its delivery information. Or, select the message, and then click the details icon edit.

Section Description

From and To

These columns show the email address or display name of the sender and recipients of the message.

Subject

This column shows the subject of the message.

Sent time

This column shows the time of the message delivery or the time delivery was attempted.

What’s in the delivery report?

The Delivery Report dialog box shows you the delivery status and detailed delivery information for the messages that meet your search criteria.

  • Subject The subject line of the message is displayed at the top of the report.
  • From This shows the display name or email address of the person who sent the message. The display name is usually the combination of a person's first name, middle name, and last name.
  • To This shows the display name or email address for each recipient of the message.
  • Sent This shows the date and time that the message left the sender's mailbox.
  • Close Click this at the bottom of the dialog box to exit the delivery report.

Email This Report option

Click Email this report to launch a new email message that contains a link to the selected delivery report. You can send the report to your helpdesk, your email administrator, or the sender or recipient of the message.

Detailed delivery information

This is where you’ll find the detailed information about the current status of the message.

Section Description

Delivery report for

Shows the display name and email address of the sender and recipient.

Submitted

Shows the date and time the message was submitted to the server.

Status

Shows the latest delivery state for the message. The status can be:

  • Unsuccessful The message couldn't be delivered.
  • Transferred The message was sent to an email address via the Internet. The message can't be tracked after it goes to an external email server.
  • Pending Either the destination for the email message hasn't yet been found or the message could be pending approval. (A message goes through an approval process when it's sent to a monitored email address.)
  • Moved The message was delivered but has been moved to another folder in the recipient's mailbox by an Inbox rule.
  • Group Expanded The group email address (like a mailing list containing email addresses of recipients for the message) was expanded to deliver the message to each recipient in the group.

Summary to date

You will only see Summary to date if you sent a message to more than one recipient and you selected Search for messages I've sent to. This information includes the total number of recipients the message was sent to and a brief delivery status for each recipient. To see a detailed status for a recipient, select the recipient in the list.

If a very long list of recipients is returned, you can use Select users to narrow it down to just the recipients you want to check.

What else do I need to know?

  • You can add multiple names to the Search for messages I’ve sent to box. The search will return all messages sent to anyone in the search list.
  • You can add only a single name at a time to the Search for messages that were sent to me from box.
  • If you use the Search for these words in the subject line field, the search will return all messages that meet the to or from criteria and the subject line criteria.
