Create and add an email signature in Outlook Web App

If you have an Office 365 or other Exchange-based account, you can create a personalized signature for your email messages. Your signature can automatically be added to outgoing messages. You can also choose to add your email signature to specific messages.

If you use both Outlook Web App and Outlook, you need to create a signature in each. For information about how to create and use email signatures in Outlook see Create and add an email message signature.

Create a signature

  1. In Outlook Web App, click Settings GearIcon > Options.
  2. In Options, click Settings > Mail.
  3. Under Email signature, in the text box, type the signature you want to use. Use the formatting bar to format the font as you want it to appear.
  4. If you want your signature to display at the bottom of all outgoing items, including replies and forwards, select Automatically include my signature on messages I send. If you don’t select this option, you can add your signature to a message manually to any message. For details, see Manually add a signature to a new message.
  5. Click Save.

Manually add an signature to a new message

If you have created a signature, but did not select the option to add your signature to all outgoing messages, you can manually add it to specific messages.

  1. Click new New Mail above the folder list. A new message form will appear in the reading pane.
  2. Add recipients in the To or cc field.
  3. Add a subject.
  4. Type the message you want to send.
  5. In the menu at the top of the message, click insert Insert then Signature.
  6. When you’re done and your message is ready to go, click send Send.

Specify if your signature displays on every message you send

If you have created a signature, you can specify if you want your signature to be added to all outgoing messages, including replies and forwards.

  1. In Outlook Web App, click Settings GearIcon > Options.
  2. In Options, click Settings > Mail.
  3. Under Email signature, use the check box to specify if you want your signature to be added to all outgoing messages.
  • If you want your signature to display at the bottom of all outgoing items, select Automatically include my signature on messages I send.
  • If you don’t want your signature to display at the bottom of all outgoing messages, clear the Automatically include my signature on messages I send check box.

What else do I need to know?

  • You can’t include an image file (such as a .gif or .tif) in your signature in Outlook Web App.
