Live Meeting provides several ways to connect to the audio portion of a meeting, including:
- Dialing in to a phone conference. This is the traditional way of connecting to the conference call by calling the phone number provided in the meeting invitation.
- Having the conference call service call you. If the Join Conference option is enabled for your meeting, you can click Join Conference to have the conference call service call you.
- Connecting to the Internet Audio Broadcast of a meeting. When Internet Audio Broadcast is enabled, meeting audio is provided through your computer. In this case, meeting audio is not interactive.
To dial in to a phone conference
Using your telephone, call the conference call number specified in your invitation to the meeting, and then supply the participant passcode to the conference calling service. If you are the conference call leader, you will also be prompted to enter the leader passcode. The conference call number and participant passcode are provided in:
- The e-mail invitation for the meeting.
- The Audio and Recording Setup dialog box in the Live Meeting console when you first enter the meeting.
- The Meeting Information dialog box in the Live Meeting console. To see this dialog box, on the View menu, click Meeting Information.
For security reasons, the conference call leader code is never displayed in meeting invitations or in the Live Meeting console. If you are the conference call leader and you want other presenters to have your leader code, you must communicate the leader code to them separately.
To have the conference call service call your phone
Live Meeting provides a Join Conference option. You supply your phone number, and the conference call service calls you and then adds you to the meeting audio. If the Join Conference option is available for a meeting, you will see a Join Conference button in the Audio and Recording Setup pane of the Live Meeting console.
- If you have not set your Join Conference settings, on the Audio menu click Join Conference Settings.
Note This menu item is enabled only if you have entered a phone number where the phone conference center can reach you.
- Verify or change the choice of country for your phone.
- Under Call me at, enter your area code in the first box. In the second box, enter your local phone number without spaces or dashes.
- Click Join Conference Call. You may be prompted to select your role in the meeting. To join the meeting as a leader, click Leader. If you are a presenter but not the leader of the meeting, click Participant.
- Wait a few seconds. When the conference call service calls you on the phone, you may be prompted to press a key and/or announce your name. You are then added to the phone conference.
To start an Internet Audio Broadcast
If the Internet Audio Broadcast option has been enabled for a meeting, you will need to start the broadcast so that meeting participants can hear the meeting audio on their computers.
If you have not already done so, join the conference call as the conference call leader, or ensure that the leader has already joined the call.
- If the Internet Audio Broadcast option has been enabled for a meeting, in the Audio and Recording Setup pane, click Start Broadcasting when you first enter the meeting. If the Audio and Recording Setup pane is not shown, on the Audio menu of the Live Meeting console, click Start Internet Audio Broadcast.
It may take up to 30 seconds before Live Meeting is fully connected to the conference call and begins broadcasting the audio to meeting participants. When you start the broadcast, Live Meeting will use the conferencing information for the meeting to dial in to the phone conference. The conferencing number is displayed to the right of the Start Broadcasting button in the Audio and Recording Setup dialog box.
To change the conferencing number or the dialing string
To change the conferencing number or the dialing string used to join the meeting, click the Edit Conference Number link in the Audio and Recording Setup dialog box.
To test an Internet audio broadcast
To verify that the broadcast is working, click the Test/Listen to connection link in the Audio and Recording Setup dialog box. This test will optionally dial in to the conference and begin broadcasting the audio from the call to your computer but not to the computers of the meeting participants.
To listen to an Internet Audio Broadcast
Meetings often include multiple presenters, some of whom do not contribute to the audio portion of the meeting. For example, they may only respond to questions in the console. If you are a presenter and you do not intend to speak during the meeting, you can choose not to join the phone conference. Instead, once a presenter has started the Internet Audio Broadcast, you can select Listen to Internet Audio Broadcast from the Audio menu. Within a few seconds, the meeting audio will start playing on your computer.
