How to Set Up Audio for Live Meeting
 

Before you schedule a meeting or conduct a Meet Now meeting with other users, you must set your audio options in Live Meeting to enable phone conferencing for the meeting. This article explains how to make audio available to meeting attendees. Topics covered are as follows:

Obtain phone conferencing account information

To use Live Meeting phone conferencing, you need a phone conferencing account from your service provider.

If you already have a phone conferencing account, the introductory e-mail message sent by your phone conference call provider contains the information you need to configure your audio settings, including the following:

  • Conferencing provider name.
  • Access phone numbers.
  • Leader and participant codes.
  • Any special dialing keys that the Live Meeting service must use to call the conferencing provider automatically. These dialing keys are required to use the Internet Audio Broadcasting and to record meetings.

If you do not have a phone conferencing account, you need to get one from your conference call provider before you can proceed. If you do not know who your conference call provider is, contact your Live Meeting account administrator. Depending on your conference call provider, a new account may not be available for up to 48 hours.

Set up and test Meet Now audio

You can use the information associated with your phone conferencing account to set up Meet Now audio. Once you have set it up, you should test it. This section explains how to set up and test Meet Now audio.

To set up Meet Now audio

  1. Use your conference phone number, participant passcode, and leader passcode to log on to Live Meeting 2005.
  2. On the My Home page, click Meet Now Details.
  3. On the Meet Now Details page, click Meet Now Options.
  4. On the Meet Now Options page, click Audio.
  5. In the This meeting uses list, click Live Meeting with audio conferencing.
  6. In the Conferencing provider list, do one of the following:
    • If your conferencing provider is listed, select it in the list. You will be able to use integrated audio to control integrated conference call controls from the Live Meeting console.
    • If your conferencing provider is not listed, select Other. You will not be able to use integrated conference call control features from the Live Meeting console, but Live Meeting will automatically display the conference phone numbers and participant passcode to all meeting participants.
  7. Select the phone conferencing options you want to enable.
    • Allow meeting participants to use "Join Conference". When this option is enabled, meeting participants can click Join Conference in the Live Meeting console to have the conference call service call their phone, rather than dialing in to the conference call themselves. If Internet Audio Broadcasting is enabled, as described in the next step, the Join Conference option is unavailable.
    • Enable Internet Audio Broadcasting. Internet Audio Broadcasting, also known as Voice over IP (VoIP), is a one-way audio broadcast from the presenter over the Internet, so that attendees can hear the audio through their computers. When this option is enabled, the meeting presenter sees a Start Broadcast button when the Live Meeting console starts up. (This function is also available as a menu and toolbar option.) Presenters in the meeting must still join the conference call and must still click Start Broadcast in order for broadcasting to begin.
    • Display the toll free phone number to meeting participants. Select this option to display the toll-free phone number you are using in the Audio and Recording Setup dialog box or in the Meeting Information dialog box for all meeting participants to see.
    • Display the toll phone number to meeting participants. Select this option to display the toll number you are using in the Audio and Recording Setup dialog box or Meeting Information dialog box for all meeting participants to see.
  8. Enter the correct toll and toll-free phone numbers for your phone conferencing account.
  9. Enter the participant code and the leader code assigned to your phone conferencing account.
  10. Enter any additional dialing keys required to automatically dial your conference call provider and to join a phone conference. By using these keys, you can input the character string needed so that the Live Meeting service can get past audio prompts and join the call. Live Meeting then either broadcasts the conference call over the Internet (Internet Audio Broadcasting), or it records the audio as part of recording the meeting. In the first Actual dialing keys box, each comma creates a one-second delay before Live Meeting sends the participant code. This delay occurs so that Live Meeting can pause for the phone conferencing prompts to finish, such as “Please enter your participant code followed by the pound sign”. Live Meeting then sends the participant code. You can enter dialing keys that need to follow the participant code in the second box.   11. If the option is available, enter any additional audio information that is required for accessing meeting audio. In the For Attendees box, provide the additional audio information for Attendee meeting invitations. In the For Presenters box, provide the additional audio information for Presenter meeting invitations.

    Note  If your organization previously used Live Meeting 2003, the audio information that you entered in the Phone Information boxes is now entered in the For Attendees and For Presenters boxes, as appropriate.

  12. Click OK.

To test Meet Now audio

  1. On the Meet Menu, click Meet Now to start the Live Meeting console with you as a presenter in your own Meet Now meeting.
  2. Do one of the following:
    • If you selected a conferencing provider by name (not Other), you can test the phone conferencing features in the Live Meeting console. On the Audio menu in the console, click Join Conference Call, expand the Join Conference section, and then enter the phone number where you want to be called. Click Join Conference. Within a few minutes, you should receive a call. When you answer the call, you will be joined to the phone conference for the meeting.
    • If you selected Other as your conferencing provider, test the audio by dialing the phone conferencing service manually using your phone conferencing account information.

Set up and test the default audio for scheduled meetings

You can configure default audio settings that are used whenever you schedule a meeting. This section explains how to do so and also how to test the settings that you specify.

Note  The procedure in this section for setting up the default audio for scheduled meetings affects all meetings you schedule with Live Meeting. You can override the default settings for a specific meeting by clicking the meeting name (instead of Schedule Meeting) in step 1 in this procedure, and then clicking Save (instead of Save as Default) in step 10.

To set up the default audio for scheduled meetings

  1. On the My Home page, under Meet, click Schedule Meeting.
  2. Click Meeting Options.
  3. On the Meeting Options page, click Audio.
  4. In the This meeting uses list, click Live Meeting with audio conferencing.
  5. In the Conferencing provider list, do one of the following:
    • If your conferencing provider is listed, select it in the list. You will be able to use integrated audio to control integrated conference call controls from the Live Meeting console.
    • If your conferencing provider is not listed, select Other. You will not be able to use integrated conference call control features from the Live Meeting console, but Live Meeting will automatically display the conference phone numbers and participant passcode to all meeting participants.
  6. Select the phone conferencing options you want to enable.

  7. Enter the correct toll and toll-free phone numbers for your phone conferencing account.
  8. Enter the participant code and the leader code assigned to your phone conferencing account.
  9. Enter any additional dialing keys required for automatically dialing your conferencing provider and joining a phone conference. Live Meeting then "listens" to the conference call in order to broadcast the call over the Internet (Internet Audio Broadcasting) or record the audio as part of recording the meeting.

  10. If the option is available, enter any additional audio information that is required for accessing meeting audio. In the For Attendees box, provide the additional audio information for Attendee meeting invitations. In the For Presenters box, provide the additional audio information for Presenter meeting invitations.

    Note  If your organization previously used Live Meeting 2003, the audio information that you entered in the Phone Information boxes is now entered in the For Attendees and For Presenters boxes, as appropriate.

  11. Click Save As Default.
  12. To close the Meeting Options page, click OK.

To test audio for scheduled meetings

  1. On the My Home page, under Meet, click Schedule Meeting.
  2. Enter your e-mail address in the Attendees and Presenters boxes.
  3. In the Start box, select the current time. In the End box, select an appropriate time to end the test meeting.
  4. Click Send Invitations to send the invitation to yourself.
  5. In your e-mail client inbox, wait a few minutes for the invitation to arrive, and then open the invitation.
  6. In the invitation, verify that the audio conferencing information is correct, including the audio conferencing number and the participant passcode.
  7. To join the meeting, click Join Meeting in the e-mail message.
  8. Do one of the following:
    • If you selected a conferencing provider by name (not Other), you can test the phone conferencing features in the Live Meeting console. On the Audio menu, click Join Conference Call, expand the Join Conference section, and then enter the phone number where you want to be called. Click Join Conference. Within a few minutes, you should receive a call. When you answer the call, you will be joined to the phone conference for the meeting.
    • If you selected Other as your conferencing provider, test the audio by dialing the phone conferencing service manually using your phone conferencing account information.
