Send a form in an e-mail message

Do one of the following:

ShowSend a form that you filled out

If you use Microsoft Office Outlook 2003 to send and receive e-mail messages, you can send a form in an e-mail message to others. When you send a form in an e-mail message, the body of the message contains an HTML (HTML: The standard markup language used for documents on the World Wide Web. HTML uses tags to indicate how Web browsers should display page elements such as text and graphics and how to respond to user actions.) view of the form. The form itself is attached to the message.

  1. Open the form that you want to send.
  2. On the File menu, click Send to Mail Recipient.

A new e-mail message opens, and a view of the form appears in the body of the message.

  3. In the To and Cc boxes, enter the recipient names, separated by semicolons.
  4. In the Subject box, type the subject of the message.
  5. In the Introduction box, type a message for your recipients, and then click Send Button image.

Note  To edit the form, recipients must use InfoPath to open and edit the file that is attached to the message.

ShowSend a form that you designed

If you use Microsoft Office Outlook 2003 to send and receive e-mail messages, you can send a form to others as an attachment to an e-mail message. Recipients must use InfoPath to open the attachment and either fill out the form or edit the form design.

Note  Before you send a form to others, it is recommended that you publish the form to a location that is accessible to users of the form. This enables you to update the form more easily and it enables certain features to work correctly, including data connections (data connection: The connection between an InfoPath form and an external data source, such as a database, Web service, SharePoint library, or XML file. Data connections are used to query and submit data.), custom task panes (custom task pane: An .html file whose content is displayed in a window next to a form. Custom task panes can provide form-specific commands and Help content.), Microsoft ActiveX controls (ActiveX control: A custom control. Form designers can add or remove ActiveX controls in the Controls task pane.), and managed code. If you prefer to send the form without publishing it to a shared location, you can digitally sign the form, which enables form features to work correctly and allows you to send updated versions of the form to others by using an e-mail program.

  1. Open the form that you want to send.
  2. On the File menu, click Send Form as Attachment.
  3. If you are prompted to either publish the form or send it as an attachment, click Send as Attachment.

A new e-mail message opens, and the form is attached to the message.

  4. In the To and Cc boxes, enter the recipient names, separated by semicolons.
  5. In the Subject box, type the subject of the message.
  6. If you want to add introductory or other text to the message, such as instructions for filling out the form, type the text in the body of the message.
  7. Click Send Button image.
