Microsoft Outlook automatically saves all unfinished messages for you. By default, unfinished messages are saved to your Drafts folder every three minutes. You can, however, change this time interval or location. You can also save a message as a file or as a template (template: A special kind of document that can be used as a master document. Outlook templates have the file name extension of .oft.). Change the time interval or location for saving unfinished items
- On the Tools menu, click Options.
- Click E-mail Options, and then click Advanced E-mail Options.
- Do one or more of the following:
Change where drafts are saved
- Under Save messages, in the Save unsent items in list, click Drafts, Inbox, Sent Mail, or Outbox.
Change how frequently drafts are saved
- Under Save messages, in the AutoSave unsent every x minutes box, type a number from 1 to 99.
Save a message as a file
- Click the item (item: An item is the basic element that holds information in Outlook (similar to a file in other programs). Items include e-mail messages, appointments, contacts, tasks, journal entries, notes, posted items, and documents.) you want to save as a file.
- On the File menu, click Save As.
- In the Save in box, click the location where you want to save the file.
- In the File name box, type a name for the file.
- In the Save as type box, click the file type you want.
Save a message as a template
If you are using Microsoft Word as your e-mail editor, you must temporarily turn it off to do this procedure.
How?
Do one of the following:
Turn Word on or off as your default e-mail editor for all new messages
- From the main Outlook window, click the Tools menu, click Options, and then click the Mail Format tab.
- Select or clear the Use Microsoft Word to edit e-mail messages check box.
Turn Word on as your e-mail editor for one new message
- On the Actions menu, point to New Mail Message Using, and then click Microsoft Word (message format)
Turn Word on for viewing all Outlook Rich Text formatted messages
You may want to set this option if you often receive the message "This message contains formatting that is best viewed with Microsoft Word. Click here to display in Word."
- From the main Outlook window, on the Tools menu, click Options, and then click the Mail Format tab.
- Select the Use Microsoft Word to read Outlook Rich Text e-mail messages box.

- In a message, on the File menu, click Save As.
- In the File name box, type a name.
- In the Save as type box, click Outlook template.
Change the default file format for saving messages If you always save messages in the Unicode message format (Outlook Message Format - Unicode) - for example, if you need to share all the messages you create with co-workers who are using different languages such as Greek, Russian, English, and Japanese or Unicode-only languages such as Hindi - you can change the default file format Outlook uses to save messages.- Click Advanced Options.
- Click Other.
- On the Tools menu, click Options.
- Select the Use Unicode Message Format when saving messages checkbox.
