Reorganize a document by using outline view
 

In outline view (outline view: A view that shows the headings of a document indented to represent their level in the document's structure. You can also use outline view to work with master documents.) you can reorder headings and text by moving them up or down, or you can promote (promote: In an outline, to change body text to a heading, or to change a heading to a higher level heading: for example, from Heading 6 to Heading 5.) or demote (demote: In an outline, to change a heading to body text or to a lower heading level: for example, to change from Heading 5 to Heading 6.) headings or text. In order to see a document's structure in outline view, a document must be formatted with one of the built-in heading styles (heading style: Formatting applied to a heading. Microsoft Word has nine different built-in styles: Heading 1 through Heading 9.) or outline levels (outline level: Paragraph formatting you can use to assign a hierarchical level (Level 1 through Level 9) to paragraphs in your document. For example, after you assign outline levels, you can work with the document in outline view or in the Document Map.).

If you select a heading that includes collapsed subordinate text, the collapsed text is also selected.

  1. On the View menu, click Outline.
  2. Show the headings and body text (body text: Text that is not formatted with a built-in heading style (Heading 1 through Heading 9) or an outline-level paragraph format (Level 1 through Level 9). In outline view, Microsoft Word displays a symbol to the left of body text.) you want by using the buttons on the Outlining toolbar (toolbar: A bar with buttons and options that you use to carry out commands. To display a toolbar, click Customize on the Tools menu, and then click the Toolbars tab.).
  3. Position the insertion point in the text you want to move, and then move any of the following:

    ShowA heading or body text up or down

    On the Outlining toolbar, click Move Up Button image or Move Down Button image until the text is moved where you want it to go.

    ShowA heading or body text to Heading 1 level

    On the Outlining toolbar, click Promote to Heading 1Button image.

    ShowA heading to body text

    On the Outlining toolbar, click Demote to Body Text Button image.

    ShowBody text to a heading, or a heading to a higher level

    On the Outlining toolbar, click Promote Button image until the text is at the level you want.

    ShowA heading to a lower level

    On the Outlining toolbar, click Demote Button image until the text is at the level you want.
