Take notes by using more than one computer or work remotely
 

If you want to take notes by using more than one computer— for example, by using a laptop computer when you are traveling and a desktop computer when you are at your desk— you can store your notes in a remote location, such as a shared folder on a network or a Microsoft Windows SharePoint Services site. You can then access your notes by using different computers.

Similarly, if you are using Microsoft Windows XP and your organization supports the Windows XP Offline Files feature, you can make your notes available offline and access them when you are not connected to the network. The next time you connect to the network, you can then update your notes on the network by synchronizing your offline files. This can be helpful if you have more than one computer, such as a desktop and a laptop computer, and you want to keep all of your notes in one My Notebook folder. ShowStore notes in a remote location

Note  If you choose to store your notes in a remote location by completing the following steps, your existing notes remain in the My Notebook folder on your computer. However, any new notes that you take will be stored in the remote location. If you want to store all of your notes in the remote location, copy the My Notebook folder from the My Documents folder on your computer to the remote location before you complete the following steps.

  1. On the Tools menu, click Options.
  2. In the Category list in the Options dialog box, click Open and Save.
  3. In the Paths list, click My Notebook, and then click Modify.
  4. In the Select Folder dialog box, browse to the location where you want to store your notes, and then click Select.

The next time you start Microsoft Office OneNote 2003, the program automatically opens the folder that you selected. You can then create new folders, sections, and pages in that folder, or modify existing ones.

ShowTip

If your notes are edited from more than one computer at the same time, versioning conflicts can occur. To help ensure that you can edit your notes from only one computer at a time, and to avoid versioning conflicts, OneNote locks a section file when you edit notes in that section. If changes have not been made to a section within a specified amount of time, OneNote unlocks the file for that section. This helps ensure that you can access and edit your notes if you switch to a different computer before closing the section on the first computer. To specify the amount of time before OneNote unlocks section files, do the following:
  1. On the Tools menu, click Options.
  2. In the Category list in the Options dialog box, click Open and Save.
  3. Under Accessing files from multiple locations, type the number of minutes that you want.

ShowMake notes available offline

  1. Quit Microsoft Office OneNote 2003.
  2. Make sure your computer is connected to the network.
  3. In Microsoft Windows Explorer, click My Network Places.
  4. Locate the network location that contains your My Notebook folder, and then do one of the following:
    • To make all of your notes available offline, right-click the My Notebook folder, and then click Make Available Offline on the shortcut menu.
    • To make only specific sections of notes available offline, open the My Notebook folder, hold down CTRL, right-click the section files that you want, and then click Make Available Offline on the shortcut menu.

    Note  If the Make Available Offline option is unavailable, your computer has not been set up to use offline files. For information about setting up offline files, see Windows Help and Support Center or contact your system administrator.

  5. Follow the instructions in the Offline Files Wizard to finish setting up your notes for offline use.

Note  To help ensure that you have access to the latest version of your notes and that versioning conflicts do not occur, it's a good idea to perform a full synchronization of your offline files before you disconnect from the network and after you reconnect to the network. To perform a full synchronization, make sure that your computer is connected to the network, and then quit OneNote. Then on the Microsoft Windows Start menu, point to All Programs, point to Accessories, and then click Synchronize.
