Use the address book to enter fax recipients

You can send a fax in a snap by using your Microsoft Office Outlook 2003 address book to enter fax addresses in your fax form. Follow these steps to learn how.

  1. Do one of the following:
    • In Microsoft Office Word 2003, Microsoft Office Excel 2003, Microsoft Office PowerPoint 2003, or Microsoft Office Document Imaging (MODI), on the File menu, point to Send To, and then click Recipient using Internet Fax Service.
    • From Microsoft Office Outlook 2003, on the File menu, point to New, and then click Internet Fax.

  2. A fax mail envelope opens with your document attached as a TIF file. Click the Address Book button on the E-mail toolbar.
  3. Now in the Select Fax Recipient dialog box, click the Show Names from the list, and then click Contacts.
  4. Select the name or names you want by pressing the CTRL key as you select, then click Fax, and then OK.
  5. The To line of your fax is now complete. In the Fax Service task pane, choose the options you want, and then click Send.

Note  To add fax numbers to your contacts quickly, you can use the new Person Names Smart Tag feature. Rest the pointer on the name in the To line of your fax, and the Person Names Smart Tag appears. Click the DOWN ARROW on the smart tag, and choose Add to Outlook Contacts. Add any other information you want to the new contact, and then click Save and Close. Be sure to add the fax number in the following format: (+countrycode)(area code)(telephone number)
