Troubleshoot fax services

ShowI can't send a fax. Help!

  • The fax service may be unavailable. To use the online fax service in the Microsoft Office System, Microsoft Office Word 2003 and Microsoft Office Outlook 2003 are required.
  • To use the fax services, the Microsoft Office Document Image Writer driver is required. The driver may not be available. Run the Office 2003 Setup Program to remove the driver, and then run the Setup program again to add the driver back.
  • Verify that you are connected to the Internet.
  • Have you signed up with a fax service provider? This is a required step to send online faxes. Follow the setup instructions on the provider's Web site.
  • Are you trying to send a fax on another computer? If you have already signed up with a fax service provider, and are trying to send a fax from a computer other than the one you signed up on, you will need to activate your account on each additional computer. Account activation information is available on the fax service provider's Web site.

ShowWhy hasn't the recipient received my fax?

  • If you are sending a fax to a machine that supports more than one person, such as a corporate fax, it is recommended you complete a cover sheet to ensure your fax reaches the intended recipient. Be sure to complete the To and Subject fields on the cover sheet.
  • Did you have Office Outlook 2003 open when sent your fax? If not, your fax is sitting in your Outbox waiting to be sent the next time you open Office Outlook 2003.

ShowHow can I tell if my fax was sent?

  • Your fax service provider will send you a confirmation e-mail.
  • Refer to your Microsoft Office Outlook 2003 Sent Items folder to see if your fax was sent. If yes, your sent fax will be stored in Sent Items.
  • Verify in your Inbox that you did not receive an "undeliverable" fax e-mail message.

ShowNot all of my fax was received

  • If you choose not to use a cover sheet, any text you enter in the message area of your fax will not be sent with your fax (the attachment).
  • If you attach and send an unsupported file type, such as a .PDF, check with your fax service provider to see if they managed to fax to the intended recipient.

ShowI was working on a fax and my data is now gone.

  • If you add, change, or delete a cover sheet, any text you entered on the cover sheet will be removed.

ShowMy annotations are missing from the fax I sent

  • If you add annotations with a pen or by using Microsoft Office Document Imaging (MODI) such as ink, a picture, or textbox, and then save the document to send as an attachment to your fax recipient, you must first turn on the Make annotations permanent when document is saved option in MODI.

To locate this option, from the Tools menu, click Options, then on the Annotations tab select the Make annotations permanent when document is saved check box.

ShowIf a cover sheet is required to reach the recipient when the fax machine belongs to more than one person, then what is the Fax Recipient field for?

  • The name you enter in the Fax Recipient field is used for storing your faxes in the Sent Items folder. It also used for matching the name you type against your Contacts list.

ShowI don't have Microsoft Office Word 2003 installed. Can I still send a fax?

  • No, not using the Microsoft Office Online Fax service. Your other alternative is to use a fax modem. See the "Send a fax" topic for more information.

ShowI can't find information about how to set up online faxing?

  • The first time you try to send an online fax from your Microsoft® Office System, you will be taken to Office Marketplace to sign up for a fax service provider. Step-by-step instructions for signing up are available on the provider's Web site.
  • You set up online faxing by signing up with a fax service provider.

ShowI can't send a fax using a number from my address book.

  • A country code is required and must begin with a plus sign (+); for example, +61/8-555-1212. You cannot use a long distance prefix in the country code field. This field is reserved for country codes only.
